  1. XCVX Easily Copy, Paste, and Cut within a file from UI Presented by: Adam Huffman McKendree University May 21, 2013

  2. Introduction – XCVX XCVX – X stands for custom, C for Ctrl+C (Copy), V for Ctrl+V (Paste) and X for Ctrl+X (Cut) Allows you to copy, paste, and cut from any field to any field within the same record of a file Allows you to simply write or delete values in a field including multivalued within UI A powerful tool for data clean up

  3. Disclaimer – XCVX • This is not a substitute for good research • RFEI: File Element Inquiry • RDEL: Database Element Linkages • clients.datatel.com/~/techdoc/~/APP_FF.cfm • Install it then secure it • SCD (CORE) Privileged • Run it in TEST first • That way changing everyone’s first name to Bob is funny and not a test of your backups

  4. Agenda Slide - XCVX When CONF: Convert Fields was not enough How to use XCVX Demonstration Real world examples How to get XCVX

  5. When CONF: Convert Fields was not enough The story behind the creation of XCVX

  6. When CONF was not enough 1 of 4 • The initial load of the INSTITUTIONS file put the FICE code in the wrong spot • Instead of the FICE field it was put in the Other ID field • Off the cuff I said that’s easy just use CONF… • I was wrong, very wrong

  7. When CONF was not enough 2 of 4 CONF: Convert Fields will change the way the data looks, or replace a specific value with another specific value.

  8. When CONF was not enough 3 of 4 • Why did I think CONF would work? • It replaces values, but not the way I wanted • What can it do? • Its one screen, fairly easy to use • Takes in a file • Can be limited by a saved list • Modifies field data in some ways • Show information regarding the fields you select to change

  9. When CONF was not enough 4 of 4 • Started with CONF • Added the ability to copy from one field to another field in in the same record • Added the ability to copy a value from XCVX to a field including blank values • Added the ability to delete field data • Added the ability to manipulate multivalued fields

  10. How to use XCVX How to use XCVX and what it looks like.

  11. How to use XCVX 1 of 7 Select a file and optionally a saved list.

  12. How to use XCVX 2 of 7 Select a field or a value that you want to copy from

  13. How to use XCVX 3 of 7 If the FROM field is an array (multivalued) you can select tocopy the whole array or just a single position within the array

  14. How to use XCVX 4 of 7 XCVX can blank a field or delete the data in the field

  15. How to use XCVX 5 of 7 Select the field you want to copy to.

  16. How to use XCVX 6 of 7 If the TO field is an array (multivalued) you can select to copy the data to the entire array or a position within the array

  17. How to use XCVX 7 of 7 If copying from field to field you canselect to Cut instead of Copy

  18. Demonstration A short live demonstration

  19. Demonstration Demo • Show my NAE record in TEST • Run XCVX against PERSON • Use the saved list DEMO_CHANGE_FIRST_NAME • Copy the value Bob • To the FIRST.NAME field • Show my NAE record in TEST

  20. Real world examples How McKendree University has used XCVX

  21. Real world examples 1 of 3 Moving the data from the Other ID field to the FICE field

  22. Real world examples 2 of 3 Created a new Grade Scheme and assigned it to all transfer institutions

  23. Real world examples 3 of 3 • General Ledger cleanup • Cleaning up of bad GL postings
