Bellco Bulletin What is the Bellco Bulletin? The Bellco Bulletin is our method to communicate operations updates, rate changes, and all other important events to the entire company on a weekly basis without overwhelming our employees email inbox!
Bellco Bulletin Timeframe: Total implementation time including development and testing was less than two weeks! Planning and Development: Approximately 30 hrs. Testing/Training and Implementation: Approximately 40 hrs.
Bellco Bulletin • Why stop using email? • Our current process involved too many steps and too many individuals to communicate information to staff. • The emails generated for our old communication method were too big (over 10MB) with all the necessary attachments. • Some employees that needed to know what was about to change never even got the notification in time! • Archiving old communications was time consuming and our employees found that trying to access old information was too cumbersome.
Bellco Bulletin • Our Solution: • Entirely portal-contained communication tool. • Any employee can submit a Bellco Bulletin with included documentation and links. • Only specific users can approve submitted bulletin’s for distribution. • ALL USERS of portal have the ability to view the most current and past submissions • All Bellco Bulletins can be archived and searched using the Mini Google search engine. • No more oversized emails!
Bellco Bulletin How it works: • The user submits their article information including: • Title • Subject/Details • Effective Date • Attached Docs (up to 2) • Related Links (Bellco Bulletin Submission Page)
Bellco Bulletin How it works: The Operations Team Accesses the Admin page through Fusion. They then click the article to approve or edit. The admin page is where we can edit any existing Bellco Bulletin. (Bellco Bulletin Administration Page)
Bellco Bulletin How it works: On the Approval Screen the approver can make any necessary changes to the article including the attached documents. Once all edits are final they can save the Bulletin until it is ready for posting. (Editing the specific article)
Bellco Bulletin How it works: Every Monday we archive all the past weeks active articles and “activate” the pending articles. It is the expectation that all employees check the Bellco Bulletin for updates first thing Monday morning. (Bellco Bulletin Administration Page)
Bellco Bulletin All the article topics listed at the top of the bulletin are hyperlinks that will take you directly to an article. If an article has an attached document or link it will appear here. All the articles are listed in order of their effective date so the most time critical articles are listed first
Bellco Bulletin How well did our employees receive this new communication tool? The positive responses were overwhelming! Now all employees could easily keep track of important operational updates, special events, rate changes, and any other information that we submit through the Bellco Bulletin. Our Annual Employee survey reflected this: Survey Question: I am informed of changes that affect my work/department before they are implemented. 2006 (before Bellco Bulletin) 3.1 out of 5 2007 (after Bellco Bulletin) 4.2 out of 5
Bellco Bulletin • The Bellco Bulletin (version 1.0) went live to Bellco Employees on January 1, 2007. • Since go-live there have been 436 Bellco Bulletin submissions communicated to Bellco employees, and NO e-mails were necessary! • We are already planning version 2.0 to coincide with our upgrade to Nambe. • New features for version 2.0 will include: • The ability to place “tags” on an article to enable users to research a particular string of related articles. • HQ page announcements for when emergency articles are posted. • Read Receipts for when designated employees acknowledge they have read a specific article.
