How to Connect Remotely to SGS VPN and FIR Raul Rivera 07/26/2014 Edtc 3332: Instructional Technology Practicum
Needs Assessment: • The Information Technology (IT) department has noticed that a good number of calls that have been made to the helpdesk line are from employees seeking assistance to connect to the company’s virtual private network (VPN) while working remotely. Therefore, the IT department has made the decision to elaborate a well-designed instructional online module that could be accessed through the company’s Share Point, and educate each of these groups on how to connect to VPN and work with FIR remotely. The instructional material will provide detail information, along with some technical tips, on what to do if someone has issues while working remotely. The purpose of the training material is to educate each of these department as to how easy it is to access the company’s private network from anywhere with Internet connection.
Needs Assessment: • Even though, employees have access to technical support by calling the IT Helpdesk line, it would be better if the employees would learn some basic tips on how to connect remotely; it would save them time if they learn the basics. • The instructional online module will be developed by using the SoftChalk Lesson Builder software and the instructional material will educate the target audience, employees working remotely, on the multiple different ways of connecting remotely to the company’s VPN and FIR application. Through series of step-by-step instructions and short assessments, the user will learn all the different ways to securely connect to the VPN and be able to use FIR remotely.
Instructional Goal: After completing the training, employees will use at least three different methods to establish a connection with the SGS’s Virtual Private Network (VPN) and the Field Inspector Report (FIR) application.
Performance Objective: • Objective 1 - Access FIR through Citrix External Link: Using Internet Explorer (IE) (CN), the employee will connect to Citrix and access the FIR application (B) through the Citrix External Link (CN), and without a struggle (CR). • Objective 2 - Connect to VPN. Using IE (CN), the employee will establish a connection with the SGS’s VPN (B), by providing the appropriate log on credentials (CN) and successfully log on the system (CR). • Objective 3 - Access FIR through Citrix Internal Link: After successfully providing the credentials for VPN (CR), the employee will use IE (CN), to connect to Citrix (B) through the Citrix Internal Link (CN) and be able to launch FIR application (B).
Performance Objective: • Objective 4 - Access FIR from employee’s laptop. Use FIR application (stand-alone version) installed on the laptop (CN), to launch the application (B) and complete any inspection report (CR). • Objective 5 - Establish FIR connection from laptop to Server directory. After successfully connecting to VPN (CN) and completing the inspection report (CR), employee will establish a connection with his/her branch office FIR server directory in the server (B). • Objective 6 - Download/Upload an FIR Job from your laptop to/from the server. After successfully establishing the appropriate connection with FIR server directory (CR), the employee will use the FIR application (CN), to successfully upload/download a job from/to the server (B).
Learning Characteristic: • The target audience for the project are inspectors working on the field and people working remotely from any SGS office. The training material should benefit the most to inspectors doing work remotely - usually offshore, terminals, client’s sites – that have no chance to reach to an SGS office to complete the required inspection jobs solicited by the client, and therefore, it is necessary for this group of employees to be knowledgeable to work with the application - Field Inspection • The demographics for the target group: Age range – 20 to 50 years old. Gender: both – male and female. Technical skills – basic knowledge of computers. • Since many inspectors have different level of education the design of the training material must include a well detail instructions for this audience.
Learning Context: The training material was designed to be synchronous and asynchronous format. • Synchronous – The instructional material will be accessible at the training room that has access to internet and the training material. • Asynchronous – • The instructional material will be accessible through the Share Point site and from any computer with internet access. • The instructional material will be accessible through any computer outside the SGS network that has Internet access.
Training Module Outline: Introduction Welcome and instructor introduction • Overview of Training Provide background information about the training. • Statements of goals and performance objectives • Capture learners interest Explain how beneficial it is the content of the training material for each of the employee that belongs to the training group and how would employees save time instead of calling the helpdesk seeking assistance
Training Module Outline: • Lesson 1 - Learn how to connect to Citrix with External Link Employees will learn the basics on how to connect to Citrix from any computer outside the company’s network that has internet access. • Lesson 2 - Learn how to connect to VPN Employees will learn the basics on how to connect to VPN from their company’s laptop; laptop must have access to the internet • Lesson 3 - Learn how to connect to Citrix Internal LinkOnce inside Citrix, the employee will learn how to open Citrix from inside the network
Training Module Outline: • Lesson 4 - Access FIR from laptopEmployees will learn the difference between FIR that is installed in the laptop locally and from the one in the server. The employee will also launch the application to open an existing job. • Lesson 5 - Establish a connection from laptop to serverEmployees will learn to install registry files in order to establish a connection with the server and FIR application • Lesson 6 – Download / Upload a job from FIRIn order to test the connection between the FIR application and the server the employee will be asked to download / upload a job from FIR application.
Training Module Outline: • SummaryThe employee will learn different methods to connect remotely to the SGS’s VPN and access with 100% accuracy the FIR application. At the end of the training the employee will be able to identify what is the best method to access VPN and/or FIR remotely. • AssessmentProvide a small test to test the knowledge of the employees. Also, another form of measuring the learning outcome from the project, verify that each employee was able to establish a connection with VPN and FIR folder found in the server.
Instructional Resources: • Desktop Computer or company laptop Operating System Windows XP or Windows 7 • Terminal Station • Access to Internet • Access to Share Point if taking training at the office (training room) • Citrix Credentials • VPN Credentials • Must have FIR installed in laptop prior tutorials • Training room
Formative Evaluation: Strategy 1: Subject matter Expert The team supporting the FIR application, including myself, will be in charge to determine if the employees understood the concept about connecting to the SGS’s VPN and FIR application. The FIR team, will check if the employee is actually connected to VPN and perform a couple of test to determine if the connection was successfully established. The employees will also be evaluated by asking him/her to download or upload a FIR job from the server.
Summary: The instructional online training material proposed for this project will provide the necessary information for the different groups that are allowed to work remotely at SGS. The material will contain all the necessary step-by-step information that will facilitate the user to connect remotely without an issue. The purpose of the training is to educate employees about all the different ways to connect remotely to the company’s VPN and avoid having a down time in productivity due to the lack of knowledge on how to connect to the SGS private network. After completing the training, the employee will list and identify all the different methods to connect to the SGS’s network/system and FIR application. At the same time, the employee will identify and choose the method that is most convenient to use depending on the circumstances (location/device, etc.). Regardless of the place where the employee is located, as long as there is internet connection, the employee will have the option to successfully connect to the company’s network by applying any of the methods to connect remotely to the SGS’s VPN and FIR application.
