Requirements to be a SWE officer: • Cumulative GPA: 3.0 • May have exceptions (i.e. freshman that have not had many credit hours) • Be a full-time student (12 hours for undergraduate) • Exceptions for the last semester of degree completion, only hours need to graduate are necessary • Preferably no absence throughout the year due to co-ops or study abroad • Attend Officer Meetings • President and Executive VP are preferably past officers.
Officer Election Process • Fill out the officer application • 50/50 weight between general election and leadership team decision (Protects against popularity votes on both the chapter end and leadership team end) • General election within the chapter • Current leadership team will vote during an officer meeting • Will take into account point system and past involvement with SWE, answers to application, resume
President Executive Vice President • General supervision over the section • Preside over officer meetings • Represent the chapter at region and national levels • Assume responsibility for the chapter and its activities • Re-registering the RSO • Organize officer elections • Be available to officers and other section members in need of assistance. • Liaison between section and speakers/professionals • Directly manage the deliverables and responsibilities of the Executive Vice President, Vice President of Development, Vice President of Communications, and Vice President of Conference Relations. • Perform the duties of the President in the President’s absence • Assist President in decision making and monitoring section activities • Coordinate and oversee all events of UARK SWE • Ensure proper refreshments, equipment, and supplies are available at all events • Communicate the necessary room reservations with the engineering department • Maintaining the SWE Event Calendar • Directly manage the deliverables and responsibilities of the Membership Manager, Outreach Coordinators, and University Relations Coordinator
VP of Communications VP of Development/Treasurer • Perform the duties of the President in the President and Executive Vice President’s absence • Handle section expenditures • prepare a budget to be discussed with advisor and executive board • maintain a record section expenditure • Oversee financial planning of the Executive Board • Have a hand in planning all events • Asking for donations from local companies and applying for donations for food/drinks/prizes • Properly fill out and submit ASG funding applications • Directly manage the deliverables and responsibilities of the Product Development Manager. • Coordinate all publicity-related efforts. • Ensure timeliness and accuracy of all social media. • Create media or graphics to be shared through physical advertisements and online outlets. • Ensure the Executive Vice President approves of all event related publicity. • Directly manage the deliverables and responsibilities of the Secretary.
Outreach Coordinators VP of Conference Relations • Coordinate and oversee all conference events including both National Conference and WeLocal Conferences. • Communicate any conference related information • Register SWE attendees • Book hotel • Assist in travel arrangements • Produce a budget for the section’s expense of those going to conference which will include: Conference registrations, Hotel rooms • Communicate with faculty advisor for additional funding • File and Fill out ASG conference registration funding paperwork with VP of Development • Plan and host outreach events that aim towards different levels of education (i.e.: elementary, junior high, and high school). • Develop community service projects by working with local non-profits or other organizations • Keep a record of volunteers • Update GivePulse with SWE outreach or community service events as a resource to keep track of volunteer hours. • Coordinate with the VP of Communications to advertise events. • Coordinate with the VP of Development by providing a budget for each event/series of events for supplies when needed.
Secretary Membership Manager • Responsible for maintaining, monitoring, and updating the section website • Responsible for SWE email account • Send out emails to membership list and email list. • Forward received emails to the appropriate officer(s), or answer questions if possible. • Maintaining and organizing the SWE Officer Google Drive. • Coordinate with membership manager to update email or contact list. • Take photos/videos of all section activities to be uploaded in the SWE Officer Google Drive and on section website • Record attendance and proceedings of general officer meetings. • Maintain a record of all active members of the section, both national members and regular attendees of section events • Track attendance by providing sign-in links/sheets at events • Be available to officers and section members in need of assistance with regards to gaining national membership • Continuously recruit new members of all years and all disciplines by coordinating tabling at events such as Razorbash, Spring Involvement Fair, FEP Carnival. • Coordinate social events for the UARK SWE Section • Maintain, coordinate, and communicate the point system for the section • Keep a record of members, faculty, and guests present at all section events and activities.
Product Development Manager University Relations Coordinator • Maintain an inventory of all products and maintain organization of SWE closet. • Oversee the purchase and sale of t-shirts, graduation cords, etc. • Design t-shirts and other products in accordance to SWE logo guidelines. • Report all projected purchases to the Vice President of Development before any purchasing is done. • Represent SWE on the Engineering Student Council board • record what is discussed, and report what was discussed to all of the officers. • Liaison with other student organizations, alumni, faculty, and staff • Keep record of current and future contacts from each RSO and department • Assist President Executive Vice President in event planning, contacting guest speakers, or coordinating any events with other RSOs.
