Business Communications Effective business communication should have a clear, specific objective that, when finished, will lead the reader/listener to “know what to do next”. Your business communications should always be intentional with clear/specific outcomes and/or “take-aways”.
Know Your Audience • Who Are They? • Communication Direction (Vertical/Up? Horizontal? Vertical/Down?) • Culture/Demographics • What do they already know, or do? • What do you want them to know, or do? • What do they expect? • Make sure you understand and share the same CONTEXT
Structure and Message Structure communications to be organized for easy reading (use white space, and blocking), listening and understanding: the audience should be able to “take in” the information and recognize that … …the message should be emphatic (not inflated), not overly “persuasive”—but definitely should have a specific position/recommendation/set of options to consider.
Design & Style Design materials so they are skimmable yet clear and understandable to include word-choice (active voice), use of bullet points, space, color, images etc… Change and control your style as needed for audience needs—“style” can relate to business dress as well as to language in a document. [casual vs. formal]
Tone Remembering that tone for business discourse in this country prefers appropriate and positive communication— Understanding that other cultures may prefer more or less direct forms of communication— Also adjusting tone for relative authority level—what is appropriate for communicating “up”, “across”, and “down”. [casual vs. formal, authoritative vs. collaborative etc..]
