Introduction Secure Box at Yale: • Approved for 3 lock data • Increased security • Data Loss protection • Accessible anywhere in the world • 50 GB of file storage space • From 7/27 – 7/31 migrating Box at Yale accounts included Yale’s HIPAA covered components to the new Secure Box Platform: • YSM • School of Nursing • Yale Health
Post Migration - ACTION • CAS intelligently logs the client into Box or Secure Box depending on the client's affiliation, regardless of whether the client initiates the login from https://yale.app.box.com or from https://yalesecure.app.box.com • In order to minimize loss of access risk to Box files, clients are requested to log in within 30 days of user migration (i.e., by 26 August – 30 August) and accept pending collaboration invitations (if any) from the Notifications Tray as illustrated on the next slide. • Collaborators can expect to lose being shared with, if they do not log in to their account after the owner of the file is migrated within 30 days and accept the pending notifications. **Please be aware this is a time sensitive action
File Sharing Restrictions • Secure Box disallows collaboration through this tool with individuals outside of Yale, Yale-New Haven Hospital or the VA Hospital. • All sharing outside of the network must be done via Yale Secure File Transfer (SFT), the only approved alternate means of securely transferring files, large or small (including ePHI/ 3-Lock Data). • For those who have used SFT, go to the Yale Secure File Transfer tool now and click the "Request Upload" button (along the right side of the screen, after you accept the terms and conditions). • If you are currently sharing using Box at Yale, please contact your collaborators of the new process.
URL’s & Bookmarks • URLs & Bookmarks pointing to folders owned by persons who are migrating will break. • All documents that contain a published link will need to be updated. • Users should not expect bookmark mapping to automatically transfer from Box to Secure Box.
