Guidelines for organizing Toolkit folders including land unit allocation, practice schedules, boundaries digitization, plan exemptions, and address key issues. Criteria for creating new folders and plans outlined.

  1. Circular No. 3 Requirements • Any particular land unit should be located in only one Toolkit folder • Only one practice schedule will be created per customer folder • All land unit boundaries must be digitized and attributed in Toolkit using the primary (‘Master’) plan’s land unit layer (exemptions shown below). • Plans and folders linked to active contracts are exempt from current cleanup; CSP also exempt; also CURRENT CRP. NO new CRP.

  12. Maintain as is, if… • No other plans in the folder • No technical revision needed • Practices are linked to ProTracts contract(s) • CSP02, CSP08 or previously existing CRP

  13. 2. Archive, if… • Workflow status is “Completed” or “Non Selected” • Several years old, no planned practices applied, • and no practices linked to active contract(s) • Created prior to 2005, not updated since, and • no practices linked to active contract(s)

  14. 3. Notes on Plan Revisions • Practices linked to ProTracts contracts MUST • be edited by a modification in ProTracts • b. Remember to change the Plan Approval Date • found under the “Reporting” tab • c. New land units CAN be added to a Master plan

  15. 3. Adding Existing or New Practices To The Master Plan 1. Creating a new pracrice on an entire existing field* 2. Creating a new practice on part of an existing field* a. if a practice layer is not present in the plan b. if a practice layer is already present in the plan 3. Copying practices from one plan to the master plan* *see specific documents for details.

  16. 4a. When To Create A New Folder • Check Toolkit for the Tract number. • b. Check for the Customer name. • c. Check for the Operator name. • If none of the above appear in the Toolkit search then • you can create a new customer folder

  17. 4b. When To Create A New Plan 1. Check Toolkit for the Tract number. 2. Check for the Customer name. 3. Check for the Operator name. If any of the above appear during a Toolkit search then check out the folder(s), and examine the plans that are present. Create a new plan if the only plan present: 1) is a CSP plan, 2) has a workflow status of “Completed”or “Non-Selected”, or 3) was created before 2005 and has no practices linked to any active contracts. Do NOT create any new CRP plans this Spring.
