  1. The Development and Implementation of an Electronic Practice Assessment Document in Pre-Registration Nurse Education Rachel Bacon – Deputy Lead for Practice in Nursing (Project Lead) Sheila Cunningham – ePortfolio Project Coordinator School of Health Sciences, The University of Nottingham. UK

  2. School of Health Sciences – Immersed in PebblePad • Nursing, midwifery and physiotherapy • Tutorial Systems– Personal Academic Record • Pre-registration modules • Post-registration modules –Mentor Preparation Course • Elective placements • eportfolio – professional portfolio • Practice Assessment Document

  3. The aim of the project • To implement a nursing electronic practice assessment document from September 2017 • 300 BSc and 150 GEN students from 3 fields of nursing: Adult, Child and Mental Health. • Across 9 NHS Organisations, 1000s PVI placement with in our region • Involves over 7000 practice assessor – Nurse Mentors (External PebblePad users) • T&F Group established: Stakeholder involvement.

  4. Practice Assessment Document - OAR Practice Assessment Document (OAR) for Nursing Course Interviews Orientations Formative feedback Self assessment action plans Assessments Achievement of NMC Standards of Competence Values and behaviours Essential Skills assessments Credits for Practice Portfolio Students create a portfolio of evidence to support their practice achievements.

  5. Why go Electronic? ePADAdvantages… • Electronic is part of the government strategy (Willis 2012, HEE 2015) • Many AEIs and professions have electronic PADs • Paper isn’t perfect….. Bulky, no space • Current practice assessment document can be a barrier for mentors • A more user friendly process • Improve the quality of assessment • A natural step forward.. • Security – prevents lost and damage • Accessibility, student monitoring • Opportunities for electronic communication • No limits on space or word count • Improved quality • Increases efficiency, of our processes • Pulls information together for reports/moderation • Cost • Opportunity for research

  6. The Project…. Key Decisions January 2019 August 2016 PebblePad – Stakeholder Familiarity Minimal issues raised Turn paper OAR into electronic Set up external PebblePad accounts Training for external users – workshops, updates, posters, PDF and Video guides, helpline/email contacts and University Link Lecturer (ULL) support Students have PebblePad workshops, preparation for practice sessions, Student Forums and ULL support Learn from others - UoN Midwifery Good communication with Practice partners to ensure IT access and internet is available. - Back up plan to loan devices/dongles. Ongoing support for enquiries, evaluations and development of new PAD

  7. ePAD – Digital Infrastructure in HealthCare Organisations • IT Access - Is it a problem or a perceived problem? • Good communication with IT departments in partner organisations: • Firewalls, filters, browsers, Wi-Fi and device access • Challenge current systems, you may be surprised by the reality • Internet access • NHS Digital Plan • Eduroam • Loan Dongles • Tethering • Device Access • Provision for device/laptop loan – never used • What is the digital infrastructure? eObs devices, ipad, PC, smartphones? • Issue with maintenance, security, theft and loss of own devices • Students prefer to use own devices • Bring your own device to work polices – Secure Units…

  8. Training Users and Externals - Familiarisation and Support • Support resources • Digital – Vodcast, Posters, video tutorials, Guidance • Face to face • Email and Telephone central support contact - Ongoing support • External Mentors and University Link Lecturers • ULL Champions • Vodcastand guidance instructions • Workshops • Mentor Updates • Students • Student Champions • PebblePad training x 2 hour sessions by Health E-learning and Media Team (HELM) • PebblePad eOAR x 2 hours preparation for practice • Drop in sessions whilst on placement • Student Forums

  9. eOAR Website Link https://www.nottingham.ac.uk/healthsciences/practice/nursing/mentors/eoar.aspx

  10. What worked…. • Keeping the document similar to the paper version • Using PebblePad was key • Good communication with IT departments in partner organisations: • Firewalls, filters, browsers, Wi-Fi and device access • Good training and support resources for externals • Provision to loan devices and dongles • Having a central support contact

  11. What we need to work on….. • External accounts set up • Technical issues – up to date browsers • Auto recovered documents • Record of attendance • Interconnectivity

  12. Evaluation and feedback “I’ve just had a student and it was great, it saved loads of time, not flicking through the book constantly trying to find the pages that you need to complete” “I though it was excellent, loads of space to give feedback, its good not to be restricted by tiny boxes to write in. I was able to give more quality feedback and write a structured action plan” “Easier to access students document at any time” “Intuitive and user friendly” “it does save the trees and it is lot easier to use!” Concerns regarding change! Digital Culture….. Access to device and internet – reality this has been minimal. Vast majority of concerns related to external accounts being activated - Passwords Some technical problems ie browsers, auto recovered documents. Full evaluation of Nurse and Student experience via online survey https://docs.google.com/forms/d/1RY4aJai_8UPZ3ZTp4wJ8Yi8nUgTBccFmkYHP0aWSLOg/edit#responses

  13. Digital Culture in HealthCare Professor Stephen Tee, Bournemouth University

  14. Why do we think differently?

  15. Scaling up……. • Now implementing ePAD 2018/19 • Over 1350 pre-registration nursing students by 2019/2020 • Development of post 2019 curriculum • NMC Standards and Education Framework • New regional/national Practice Assessment Document

  16. PAN Midlands & the East – the growth of the collaboration • To implement a collaborative practice assessment document for nursing inline with the new NMC Standards of Proficiency for Registered Nurses • Established PAN Midlands and East Practice Learning Group • 26 AEIs in the Midlands and East of England – many HEI’s share practice placements • HEE funding

  17. The PAN England Practice Assessment Document 22 AEIs Midlands & East 5 AEIs Yorks and Humber PebblePad ePAD 11 AEIs London 22 AEIs South West PAD

  18. Why should we work in partnership? There is a lack of collaborative development of the mentorship role (National Nursing Research Unit 2012 and RCN 2015) • National PAD supported by NMC • This is a natural step forward…. • Other regions/countries have already successfully implemented a collaborative PAD (Wales/Scotland) • Collaborative approach to the implementation of the NMC Standards and Education Framework • Opportunities for further collaborative working: Shared resources and quality assurance processes Cross-organisation working is required to provide a strategic and collaborative approach from HEI, providers and NMC The Shape of Caring Review highlighted the inconsistency in the practice assessment requirements between HEIs and recommended a standardised national assessment framework (Willis, 2015). NMC – we will work with you to facilitate the development of a regional or national PAD (NMC, 2018 National PAD Event)

  19. What does this mean for our ePADS? • The PAD - Turning paper into electronic • We are all at different stages with our current ePADs - different systems or scoping • Its not if……its when….. • Share what works and learn from each other; design, platforms, approaches, process, workflows, reports. • How can we keep consistency and version control? • Thousands of External Users across England • Digital infrastructures in HealthCare.

  20. ME ePAD https://v3.pebblepad.co.uk/spa/#/builder/viewer/GzcMrr54yW76tG63k88gftnM4w?historyId=x5qmvW4FX5&pageId=554f97a0-663f-4312-bb79-8d6e36950f7b

  21. Next steps - working together • ePADworkstream – PebblePad shared island for collaborative development across AEIs • Ideal world we would all have the same systems. What ever systems we choose we will work together to gain consistency with our ePADs • The aim is to enhance consistency and keep version control • Working in partnership – we can develop systems and workflows that enhance the student experience and make the system easier for practice • Share what works and learn from each other; design, platforms, approaches, process, workflows, reports • Shared development of support resources
