This is a short tutorial for creating an accessible text version of your presentation in PowerPoint using the “Outline” feature.
Why bother? • Outlining helps organize your content and makes for clearer presentations. • It creates a text alternative for those who don’t have or can’t use PowerPoint • Some Web users are still on slow connections and cannot download large ppt files • Text files are accessible to people with vision and motor impairments; PowerPoint is not.
2. Type in some text. It will appear as a headline on the corresponding slide.
4. To add text to the body of a slide, hit “CTRL+enter” • That creates a bullet point • Additional “enter” actions add bullets
6. When you’re done, you can go back and • Format text with fonts, colors, etc. • Add shapes • Add graphics • Etc.
You may also wish to use the “notes” panel • To add narration that will play in synch with the slides • To add explanatory or footnote text
When you’re all done • Highlight all the text in the outline panel • Copy the text to the clipboard (CTRL-C) • Create a new file in any word processing program • Paste in the text (CTRL-V) • Save the file in plain text (.txt) format.
Congratulations! • You’ve just created an accessible version of your PowerPoint presentation! The Sea Grant Webmaster can now easily convert it for use on the Web.
