  1. UHMC Inventory System An introduction and overview

  2. Introduction • Change in UH Property and Fund Management Office policy spurred development of this system. • UHCC Policy # 8.501 Delegates the responsibility of managing non-capital assets to the campuses.

  3. Online Inventory System • New web based Inventory Management system developed by Business Office and RDP IT • Allows each custodian to manage, control, and maintain their inventory online. • Other useful features include searching, sortable equipment list ,and annotating equipment

  4. Improvements • Database contains a list of all equipment under each custodian • Equipment may be sorted by decal#, asset#, description, location, acquisition date, and cost. • Search inventory database using PO#, custodian, location, acct#, decal# and serial#

  5. More Improvements • Paperless transfers & disposals of Non-Capital Assets (assets valued between $1000.00 and $4999.99). UH Property & Fund Management Office and the Business Office approvals are no longer required • Equipment Transfer & Disposal Forms are electronically generated for Capital Asset (assets valued at $5000.00 and above) transactions. Custodian will need to print form out for signatures. Business office will review and forward to PFMO for approval.

  6. Yet more improvements • Archival of historical data on transfers and disposals improves tracking of all equipment • Online tutorials with instructions on how to use the system available at: http://inventory.hawaiirdp.org/tutorials.asp

  7. Changes • Custodial staff’s role in adding new Non-Capital Assets to the database by assigning the serial#, location, description, manufacturer/model# and acquisition date. • The new look of the Non-Capital Asset decals
