Understanding Terms for Managing Users • What are CCC! user groups?CCC! has 4 different types of user groups. • Administrator: This user type has full control of the system, including adding users, adding domains, running reports, content creation rights and changing system settings. This group is not available on the shared Internet servers. User administration is handled from a bottom up hierarchy. Admins can add, edit or delete users at or below their domain level. • Restricted Administrator: This user type can create users and domains at or below their domain level. User administration is handled from a bottom up hierarchy. Restricted Admins can add, edit or delete users at or below their domain level. • Teacher: This user type has the ability to manage Classroom LIVE! (not available on shared Internet servers) and run knowledge check reports. • Student: This user type has the ability to search and play programs, create playlists and bookmarks.
Understanding the Restricted Admin Account What else do I need to know about the Restricted Admin Account? Rationale: A Restricted Admin Account is used by schools/districts who want to manage their own user accounts. Definition: By definition, a Restricted Admin Account has more permissions that a teacher or student user account, but not as global a set of permissions as a CCC! Administrator would have assigned. Function: A Restricted Admin can add, edit and deleted users and domains (and all their associated data), but cannot run/generate reports. Requirements: To gain access to a Restricted Admin Account, schools/districts must identify one or two official people to serve in this role, complete short webinar training and sign-off on Restricted Administrator Authorization form.
Understanding Terms for Managing Domains What is a domain?CCC! uses domains as a way to separate users. This allows for sharing of playlists and bookmarks only within the designated domain area. The highest level in the domain hierarchy is the State level, next is Region, District, School and Building. When using domains, the media (shared playlist and user generated content) is distributed from a top down fashion. This allows administrators at the district level to create content and then share it with all schools/building beneath them. When content is created at the building level (the lowest possible domain level) only users that are assigned to that level will see that content.
Understanding Domain Management How do I add domains?1. It is recommended that you plan your domain architecture before beginning the process of adding domains. 2. Login into CCC! using your Restricted Admin Account. 3. Select SETTINGS tab on the Digital Director Bar at the top of your screen. 4. Select Directory Management from the dropdown menu.
Understanding Domain Management Continued 5. The directory list will expand. Your school/district has already been assigned to either a School, District or Region domain. 6. To add new domains, select the level you want to edit. For example, if you want to add a school, select your District name and then select the green plus sign to access the dropdown menu. Select School to add. If you have more than one school within a school, you can further add Building domains to differentiate.
Understanding User Management How do I add a single user?1. Log into CCC! with your Restricted Admin account. 2. Select SETTINGS from the Digital Director Bar at the top of your screen. 3. Select User Management from the dropdown menu.
Understanding User Management Continued What next?1. Select the green plus sign to add a new user. 2. Complete the form including selecting the correct domain (school name). Use the magnifying glass to expand domain choices. 3. All fields must be filled in. 4. Select OK. 5. You will get a notification thatthe user has been successfully added. 1. 2. 3.
Understanding User Management Continued How do I edit a single user?1. Log into CCC! with your Restricted Admin account. 2. Select SETTINGS from the Digital Director Bar at the top of your screen. 3. Select User Management from the dropdown menu.
Understanding User Management Continued What next?1. Search for the user you want to edit/change by either first name, last name, email address or grade. 2. Select the user you want to edit from the list. 3. Select the edit icon to expand the user-specific form for editing. 4. Edit the information. Select OK to save the changes.5. You should receive a notification message that the edits have been successfully saved. 3. 1.
Understanding User Management Continued How do I add users through using the bulk upload process?1. Begin by accessing the Master CCC! Bulk Upload Template. 2. You will see the following categories on the CCC! Bulk Upload Template: Login: A mandatory field that requires an email address. It doesn’t have to be a valid email address; just in that format. Example: jsmith@d1.org. Password: A mandatory field. Choose a password that makes sense to your organization. Secret Question/Secret Answer: A mandatory field, used for password resets. Role ID: A mandatory field used to signify user access level by a numerical digit. 1=student, 2=teacher, 3=restricted admin First Name, Last Name, Email: All mandatory fields for id purposes. Grade ID: A mandatory field used to signify video access based on grade level by a numerical digit 0-12,14. Kindergarten is 0 and 14 indicates high education. Choose 14 if you want users to be able to access all videos in the CCC! Streaming Media Content Library. Expiration Date: A mandatory field used to limit access to users based on a date in the future. Must reformat this Excel column using custom formatting as shown: yyyy-mm-dd. Can Add Video: A mandatory field, enter 0. Continued
Understanding User Management Continued The last column on the CCC! Bulk Upload Template is:Campus/Department: This is a mandatory field used for associating users with the correct district/school. Enter your district name in the Campus field and school names in the School field. This will allow users to share CCC! resources across their school. If you want users to be able to share resources across the entire district (i.e. all 2nd grade teachers across the district), then leave the School field blank and enter your district name in the Campus field only. Once you have completed the CCC! Bulk Upload Template, save it both as an Excel file and as a .csv file. It is recommended that you delete the header row in the .csv file before closing the file. Tech Tip: Excel files and .csv files automatically revert the date format back to what is standard for Microsoft Office. If you reopen the file for any reason, you will need to reformat the date column by highlighting the column, and then…right click/select format cells, select custom and set it again to yyyy-mm-dd. Resave as .csv and you’ll be ready to use for your upload.
Understanding User Management Continued How do I use my .csv file to upload a batch of users?1. Log into CCC! with your Restricted Admin account. 2. Select SETTINGS from the Digital Director Bar at the top of your screen. 3. Select User Management from the dropdown menu.
Understanding User Management Continued What next?1. Select the Bulk Upload icon. 2. Browse to locate your .csv file. 3. Select the magnifying glass by the Domain field. 4. Choose the domain to which these users belong. 5. Select Upload. 6. You will receive a notification about number of records added. Make sure this number corresponds to the number of users on your.csv file.
