What will keep the reports function from working to your advantage? • If children are not entered into the NCIR • If historical immunizations are not entered properly • If the ‘Notices’ box is not selected
Assessment Reports • Gives you an assessment of the client’s current immunization history within 4 different age categories. • <12 months • 12-23 months • 24-35 months • 36-72 months • Numbers only report- no client specific information
What information do you need to run the report? Evaluation Date: used to set the age range for the clients in the report.Client Population: options are available based on what type of provider is requesting the assessment.

How Do I Run an Assessment Report Choose your client population Select your evaluation date Remember!!Only click Generate once Click Generate when done Choose assessment report
Status Report!!! Stage1 If Status is Complete click on report name
Go to File/ Save As and save the report. Remember to pick a name you’ll remember
How Will This Assessment Report Help Me? Numbers only report- helps you see your immunization rates right away Keep track of your clients immunization status. Are they up to date? Do they need to come back in? Show the number of clients that could have been brought up to date with additional immunizations. Assessment of missed opportunities.
RequestReminder • Serves to generate mailing reports, address labels, or client listing for clients in their organization. • Unlike the Assessment report, Request Reminder will show client specific information.
Things to Remember • Update Responsible Person information • No more than 4 responsible people • Check the Notices box • Delete unnecessary ‘notices’

How Will the Reminder Recall Report Help Me? Going to help you determine which clients are not up to date with their immunizations. Provide a fast way to run a report with all the contact information for those clients that need to come back in. Improve the immunization rates because you will be able to keep your clients up to date.

Page 2 Benchmark age grid At 9 months old the client should have 3 Dtap, 2Hep B, 2 Hib, 2 Polio, 2 Prevnar Actual assessment at the benchmark months At 9 mo old, 6 out of 61 clients in that age group had the 3 necessary Dtap shots
Page 3 Only 1 child is within the <12 mo age group In the less than 12 month age group, 1 client needed 1 vaccine in order to be up to date Shows those clients behind in the ACIP childhood immunization schedule
Page 4 89.5% of the clients in the age group 36-72 months got a late start Key for what Late Start and Drop Off means Chart and Key for missing HepB doses
Page 5 Shows missed opportunities broken down by age group. **missed opportunity is defined by the last time a live immunization was entered 17 out of the 18 total clients in this age group (94.44%) were not up to date and 10 of them (58.8%) were considered to have had a missed opportunity. So, how do I find these kids?
Click on Use All Vaccine Groups Enter the birth date range from the assessment report Click Generate when done Finish with Reminder Recall

Omitted Clients • What do I do with the Omitted Clients? • Print the omitted client list • Go back to Manage Client • Add the responsible person information
Things to Remember Every time you change a “listing factor” the Reminder Recall must be run again Before you run the Reminder Recall again, let’s look at the next query, which is the client query listing, to see if you can update more information in the client’s record
When you click the back button from the omitted clients, you will come back to the status page Click report name in blue Click here Click here Type in the name of the report RR Part 2
What can you do with the Client Query Listing? • Use it to look up chart or EMR copies of immunization records to ensure that all historical doses are entered • If you want to fix those records- you can go back through Manage client and add those historical doses
More on the Client Query Listing and Omitted Clients The client query listing is the best way to find those clients for a certain age group in the assessment report. • From here you have two option: • Take the omitted list and the client query list and clean up those records as much as possible • Take notice of those that are omitted, and the clients in the client query listing and go back later and fix them How do I fix the Omitted Clients???
Click Find Go back to Manage Client Take the first client on your omitted clients list and plug them into the search screen
Last Name, First Name, Relation, and either a phone # or complete address is required Click here
Go back to Reminder Recall Enter the birth date range Click Generate
