TOP TIPS • You can upload all the files at the same time. • If an upload fails it does not impact the others. • On subsequent rounds of notes, you only need to upload what is requested – not all the files again. • We have tried to balance quality and speed by selecting the mp4 format, h264 codec, and 3000 kbps data rate at full resolution 854x480. • File names not important – the system will rename them. • You’ll need to click the “Submit Materials” button once everything has uploaded. • The green checkmark next to each item tells you the upload was successful. • As always your videos will go through internal QA and any change requests will be sent to you. • The labels and description on the following slides will be improved by the time we roll it out.

Releases • We’ll take pdf, png, doc, etc. You can scan or take digital photos. • There is a field where you need to type in the person’s name before you can get enable the Browse button. • If it is easier, you can upload the scanned appearance releases into 1 nested graphic file rather than a separate file for each. • If you have more than 12 releases, you can choose to send them to us via 2-day Fedex. Just include a note in the Person Name description field

Master Video File • This is where you’ll upload your master video file. • Upon successful upload, the system shows your video – this is done so you can make sure you uploaded the right video file. • There is a space where you can enter notes for the client or QA team if necessary • Encode specs are mp4, h264, 3000 kbps data rate, 854x480 resolution.

  10. Invoice • Can be any format: pdf, doc, etc.. • You’ll need to enter the invoice amount before the Browse button is enabled • Only 1 project per invoice – don’t put multiple projects on an invoice

Raw footage: B-Roll & Soundbites • We need to have some raw footage in case we need to make client-requested changes • We have made these 2 uploads as small as possible (under 100MB) but still give us a good amount of raw b-roll • We are not looking for edited clips – just one or more chunks of raw b-roll and soundbites will suffice • Same encoding specs as the master file • While we only want you to upload limited raw footage as per the above, we do request that you keep and archive all the raw footage for up to a year. It can be on disc or tape. You do not need to send it to us unless we request it. Chances are we'll never need it or ask you for it.
