AWARDS AND BANQUET PROCEDURES • Varsity Letter Grid are due to Sara 7 business days following the last competition. • Attention to detail (i.e., schedule, student-athletes, participation) • The Team Awards and Banquet Prior Approval Form is due 10 days prior to a Banquet. • Needs to be filled out in full with all necessary names, awards, and receipt/expense report attachments. • If no Banquet will be held or if no awards will be distributed, a form must be submitted still.

  12. Who is eligible to receive a participation award? All student-athletes on a sport’s roster. Who is eligible to receive a special event (e.g., ACC or NCAA post-season) award? Awards for participation in special events may be provided only to student-athletes eligible to participate in the competition. QUESTION #5

  13. QUESTION #6 • Must all participation awards be given uniformly? • YES. All student-athletes must be provided an award that is uniform within a category (e.g., senior participation awards may be different than underclassmen participation awards).

QUESTION #7 • What is included in the value of an award? • Award? • Award + Taxes? • Award + Taxes + Shipping and Handling? • Award at discounted rate? • Award at discounted rate + Taxes + Shipping + Handling? • Award at normal retail value with taxes and shipping and handling? • Normal-retail value must be assigned as the value of an award when determining whether an award meets specified value limits, even when a member institution receives institutional awards from an athletics representative or organization free of charge or at a special reduced rate. Normal-retail value is the cost to the institution that is based solely on volume and is available to all purchasers of a similar volume and that does not involve an obligation to make additional purchases to enable the supplier to recover the costs for the original purchase.

  15. QUESTION #8 • May a gift certificate be presented as an award? • Yes. A gift certificate is a permissible award provided the certificates are for merchandise only (i.e., not refundable for cash).

QUESTION #9 • May awards be presented on a “senior night”? • Awards, like framed jerseys, may be “presented” on a senior awards night prior to the conclusion of a sport’s regular playing season, BUT it is NOT permissible for a student-athlete to be given an annual participation award to keep until the conclusion of the institution's regular playing season in that sport.

  17. QUESTION #10 • May parents/legal guardians of student-athletes be presented with “Parents’ Night” Flowers? • Yes. The Compliance Office must be notified and be provided with the receipts prior to the competition so a waiver can be processed on your sport’s behalf.

  18. QUESTION #11 • Is awarding a game ball a permissible activity? • It is not permissible to award game balls to student-athletes for specialized performances in particular contests or events or during a limited time period (e.g., "player of the game" or "player of the week"). • However, an institution may provide a game ball to a student-athlete only on an occasional basis to recognize an extraordinary achievement (e.g., career achievement, establishing an institutional record). This type of award would be listed as a special achievement award.

  19. Who may attend a banquet for free?: Team members, coaches, and athletic department staff Former team members who have exhausted eligibility Who must pay in order to attend?: Relatives of current and former team members Friends of current and former team members Recruits – can use the host money for this cost Need to be able to guarantee that the recruit(s) will not have any contact with booster Friends of the program – They are representatives of Boston College’s athletics interests.
