SENTENCE ADMINISTRATION Sentence Administration ensures the agency acts in accordance with the orders of court and state authorities for all inmates/offenders remanded to the custody of the Oklahoma Department of Corrections.
Elements of Sentence Administration • Judgment and Sentence/Order of Revocation/Parole Revocation • Jail Time/Deferred Reception Credits • Earned/Achievement Credits • Restricted Earned Credits • Rapid Repatriation • Release of Inmates/Offenders (discharge to street/probation/parole/post-imprisonment supervision) • Post-Imprisonment Supervision • Sex/Violent Offender Registration • Review/Approve all Private Prison Discharges/Writs • Audits/Auditors • Closed Records
Four Types of Records Utilized in DOC • Medical Record (EHS) – maintained by Health Services • Field File (Classification) – has six sections and maintained by inmate’s current facility • Legal File – maintained by inmate’s current facility within the records office only • Electronic File (OMS) – can be accessed on any ODOC computer by a variety of people
Each Offender has a Consolidated Record Card (CRC) • The legal document used to maintain the inmate’s incarceration sentence/time • The front is a “snapshot” of the inmate’s personal and legal information • The back has time information (length of sentence, jail time, deferred reception credits, earned credits, achievement credits, lost credits due to misconducts) and is used for classification
