Previous Separation Process • Separating employee clears out on the last day of employment • Problems associated with the old process include: • no advance notice for key departments • Not all departments aware of separation • No verification of signatures on out-processing checklist • Inadequate key control process • No mechanism to recover outstanding fees or university property • Inconsistent termination of all accounts • Outdated separation forms
Previous Separation Process (continued) • Separating employee required to walk a form to 5 locations to obtain signatures • At least 3 more departments wanted to be added
New University Separation Process! • Launched on Friday, January 30, 2009 • Improve method of collecting University property, securing network accounts, and resolving any financial obligations • Notify all key stakeholders (SNG) – 15 depts.

The Separation Processing Checklist • HR website – Forms http://www.utsa.edu/hr/forms.cfm#10 • SNG will respond by email (clear or not) • Using the Separation Processing Checklist - indicate if cleared or N/A. • If outstanding issues - notify employee
Once cleared, forward checklist & the separation form to HR • Unless there are any outstanding obligations, employee goes to one place – HR
