Centralized Scholarship SelectionProcess - Outline • BN recruits Prospect SAL and directs to online application • Prospect applies on Line Feb (Jr Year) – Jan (Sr Year), Interviewee list established, PMSs review • HQCC determines school scholarship allocations 18 months in advance • Prospect interviews with local ROTC program Jun (after Jr Year) – Feb (Sr Year) • HQCC conducts 3 scholarship boards OCT (Sr Year) – MAR (Sr Year) • HQCC (PMS board) determines scholarship winners and informs PMSs thru CCIMS • PMSs review/approve winners, school entrance eligibility • HQCC mails letters to scholarship winners with 5 school choices • Prospect receives offer letter and accepts scholarship offer to 1 of 5 school choices (within 30 days) • Prospect has until 1May to confirm or request change school offer The Southern Guards Battalion

On-line Application Critical Elements • Prospect applies on-line from Jun JR yr to Jan SR Yr • Selects up to 7 school choices in priority order • Applicant becomes an interviewee based on self reported SAT/ACT and Cumulative GPA • Starting in Jun visible in PMS Review in CCIMS • PMS views Interviewees via CCIMS alert spreadsheet • File Updated Weekly The Southern Guards Battalion
Scholarship Allocation Process • Allocation Process does not change: • Brigades give each school allocations based on commission mission • 20% of allocations reserved for “one time” on-campus offers • HQCC offers ~ 2 scholarships per available allocation • Offers continue until allocations are filled • Allocation fill is based on accepts/declines • PMS awards on-campus allocations after National Scholarship Application Closes (March) • Primarily for incompletes, non-applicants and non-selects after the last board • Used for prospects still in consideration if they are admitted to the school making the offer • Unused funds roll over • Mid-Course Review to ensure all schools remain viable The Southern Guards Battalion
Interview ProcessCritical Elements • HQCC Continues to Refer Interviewees to PMS/APMS through CCIMS beginning in Jun 13 • Interviewees are referred to 5 schools within their local commuting area • Use New ROTC Interview Sheet CCF 159-R CCIMS • Purpose: • Assess qualitative aspects of applicant • Provide Information about Army ROTC • Eyes On observation • Composure • Appearance - PMS conducts/confirms Ht/Wt • Verbal Communications skills • Motivation • Overall potential • Interviewer confirms PFT and transcript have been sent • Interviews (CCF 159-R) entered in CCIMS
HQCC Conducts Centralized BoardCritical Elements • Prospects must supply transcript, PFT and validated SAT/ACT to HQCC and have been Interviewed in order to be considered by board • HQCC sends letter explaining process to all applicants as they apply • Prospect boarded only one time and considered throughout the process • Re-boards for admin errors only The Southern Guards Battalion
Centralized Board Process • Selection Board Composition • HQCC tasks Brigades for 3 - 5 PMSs or Army Officers based on number of files to be reviewed. • Precise Dates TBD Annually • Board Qualified Record • Transcript • Validated SAT/ACT Scores • Presidential Physical Fitness Test (PFT) or Army Physical Fitness Test (APFT) • PMS Interview Sheet • Each File is Boarded Once and Scored by Three Officers – 35% of WPS • The Board WPS is used to draw the cut line for the number of scholarships to be offered • Number of Scholarships to be Offered is based on a percentage of the applicant base The Southern Guards Battalion

Mid-Course Review - Jan • HQCC will review applicant base to ensure all schools have an opportunity to award their allocations • Decision will be made to either: • conduct special OMLs within the remaining boards • increase campus based allocations for those schools The Southern Guards Battalion

HQCC Determines WinnersCritical Elements • HQCC identifies number of offers for each scholarship board and selects winners from board OML • HQCC identifies up to 5 schools to offer to each winner (Generally 1 or 2, rarely 3 or higher) • HQCC manages total number of offers allowed per school • “Misfire” offers are made to schools above their allocation The Southern Guards Battalion
PMS ReviewCritical Elements • PMS reviews scholarship winners in CCIMS • PMS can de-select prospect from school based on admissions ineligibility only • PMS can recommend a 3YR AD offer in lieu of a 4YR offer • PMS email names of de-selects and offer changes to HQCC The Southern Guards Battalion
HQCC mails letters to WinnersCritical Elements • HQCC mails winners letter guaranteeing conditional scholarship offer • Winners have 30 days to accept scholarship and to identify their school of choice • Winners have until 1 May to confirm school of choice • HQCC will consider requests for school change to a school not included in original offer (very limited) The Southern Guards Battalion
Scholarship Best Practices • DOs • Take both the SAT and ACT Jr. Year after a prep. course (www.march2success.com) • Apply for 4 Yr Scholarship starting June 1, 2013 • Make an early decision on which school to attend; this will effect interview score. • Use early admission if possible • PT • DON’Ts • Assume unlimited Scholarships are available • Apply for a scholarship in January 30, 2013 or later and expect to get an offer • “Play” one school off of another. • Rule out USAR and ARNG options • Couch / Twinkie / X-box 360 training The Southern Guards Battalion
