What is Desktop Publishing? • Desktop Publishing • The process of combining text and graphics into one file called a publication • Flyers • Single sheet of paper • Communicates information about an announcement or event • Brochures • Folded in various ways to create a look • Gift certificates • Business cards • Printed on special paper that separate into pre-cut shapes after printing • Posters • Printed on large paper • May glue or tape several pages together.

  4. Creating a New Publication • Template • Master publication that includes the basic elements for particular types of publications • Used again and again whenever that type of document is needed

  6. Text Boxes • Text cannot be typed directly onto a publication page • Create a text box first, then type into text box • Insert ⇒ Draw Text Box and then drag the sign on the publication page. +

  8. Viewing a Publication • The Zoom group in the View tab • Used to magnify, or zoom into, a publication page • View ⇒ Whole Page • F9 key • The Layout group

  21. Adding and Deleting Pages • To add a page • Insert ⇒ Page • Then select from the options Insert Blank Page or Insert Duplicate Page

Connecting Text Boxes • Publications with multiple columns or multiple pages have many text boxes • Text flows from one text box to another by connect the text boxes • Create a new text box • Click the Overflow button • Move the pointer over the second text box until the pointer changes • Click once to flow the text and connect the boxes

Using Mail Merge in a Publication • Mail Merge • Integrates the information stored in an Access database with a publication • Mailings ⇒ Mailings Merge ⇒ Step by Step Mail Merge Wizard • Select Use an existing list • Navigate to the database to use for the mail merge and then select Open • Select the table that contains the merge fields • Select the recipients • Add fields to the publication by clicking fields in the task pane • Click Print preview • Click Print to print the merged documents
