“With all of the tools, techniques, and processes available in our industry, it's easy to lose sight of the fundamentals of project management. Assessing your approach from the perspective of a small child is one way to ensure that you are not overcomplicating things.” Understanding and communicating the five W's in project planning can provide context and perspective for the low-level details found in individual project plans.
What? • Scope definition is all about answering the question, "What do we want to do?" ” is the question. It's amazing how many projects waste significant resources (and, as a result, churn) because they don't have a simple answer.
Why? • If there's one thing we lose as we get older, it's the admirable (?!?) persistence with which a small child approaches learning something new. “Why are we doing this project?” we might wonder.” question once or twice, but how often do we delve deeper to uncover the fundamental benefits and motivations that underpin its existence? We should use the tried-and-true performance improvement technique of asking "Why?" ” five times to make sure we aren't presenting a surface-level driver as the primary motivation for investing in a project.
Who? • Even if the What hasn't been decomposed enough to identify all of the skills or competencies required, there should be a good idea of the critical roles that are required to deliver the What?
When? • When must the What be delivered by in order for the organisation to achieve the When?
Where? • What is the best location for the work to be done, and what will be used there?
The project manager's attention can now be directed to the question that, all too often, receives all of the attention before a thorough understanding of the five W's has been achieved: How?
