Unit 2-2 Instructions • Bring a Music CD to class to add music to the slide show • Bring a Flash drive, CD, or email pictures of your topic • Learn to resize, crop and brighten photos before they are placed in a PowerPoint Photo Album • Add Animations that enhance the slide show • Add Borders around photos • Make sure that the animations are advanced automatically after a certain amount of time • Change the background color of the slides
Make sure you have all your familyphotos either in your computer already from a digital source such as a camera or scan them in manually. Be sure all photos are in a labeled file that is easy to find. You will also want to make sure your computer has DVD RW. This simply means that your computer can burn your PowerPoint project onto an empty DVD. These DVD's can be purchased right at Staples or any other office supply store. Make sure you purchase your DVD with the largest memory available as PowerPoint files take a lot of memory to run. Now you are ready to have some fun!! When you first open PowerPoint you will notice it has a template already to go for you. I would recommend using this on your first time out that way you have a guide to follow. At the top of the screen, on the main toolbar click on 'insert' On the drop down click on 'picture'. This will bring you to yet another drop down. Click on 'from file'. Now you can browse for that special picture or pictures as the case may be. When the picture comes up on screen it will be huge. Use the provided 'handles' to bring it to your desired size and to move it around. At the top of your screen you will see a tool bar under the words presentation 1. Click the 7th symbol over once to crop out any junk from the photo. Use these tools as many times as needed to cover the page in as many photos as you desire. However, remember to keep it simple. A cluttered page with special effects added may look messy and confusing.
Now that your photos are on your page it is time to describe them. To do this click on the title bar provided and start typing. If you don't like the font style or size go to the tool bar below 'edit' and 'format' after highlighting the text in your box or before typing in your box. You will notice it is preset at Arial size 44. Not ideal for photo titles. I would personally recommend size 14 for a photo title but if your mother is elderly you may want to go higher to accommodate. If you are going to stick with the same font style and size throughout your pages as what you have just set up I would highly recommend that you select your text box and then go to the 'edit' option on the main toolbar. Select 'copy' from the drop down and then you will be able to hit 'paste' from the 'edit' menu as many times as you please. Now you have a set of exactly the same boxes!! Just highlight the text in them and type in the correct photo title. You can also change the color of your text and add special effects to it. Look for the large A with the black line under it for font color and the B,I,U and S buttons to bold, indent, underline and shadow. You can learn more as you go but for now I will just help you with the basics.
Now that you have a very basic page layout it is time to get creative!! Highlight a picture or text box of your choice. Now proceed to the main toolbar and drop down 'slide show'. Here you will see 'custom animation'. Click once and you will see a box of options pop up on your right. It looks just like a help box. Click on 'add effect' (This will transform to 'change' after you have added your affects). Here you will see many options, which I will help you to understand. 'Entrance' would be how you want your text or photo to enter onto the screen when that particular page comes up in the slide show. 'Emphasis' will make your photo do some other fun animations such as grow/shrink as the slide show proceeds. 'Exit' will be what your photo will do as you leave this page during the slide show. 'Motion Paths' are fun little paths that your photo will take as it bounces about the screen if you so choose. Now, as I said, these can be applied to photos or text. What I didn't mention however, is that you can add effects all day long just by staying in the 'custom animation' screen and highlighting what it is you want to add effects to. After you have added an affect or affects (You can add more then one to the same object.) push the play button and you will get a preview of what will happen to the object in slide show mode. Don't like a particular animation that you just added? Click the objects name in the box under 'speed' and then right click your mouse. On the pull down that appears click 'remove'. Notice here that the stars in this box correspond with the stars listed under 'change'. That is how you will know if you are removing the correct animation. Don't be afraid to experiment with the other options on the animation screen. As I have said before, I am just giving you the basics.
Now you have something pretty darned special but there can be more believe it or not!! You can add animations to the entire slide!! Under your main tool bar click 'slide show'. On the drop down click 'slide transition'. Again you will see the help like box on your right. Under 'apply to selected slides' select your animation and click it. Under 'advance slide' click 'automatically after' and click off 'on mouse click'. Once again, you can hit play to preview. However, if you don't like what you have done just go back to 'apply to selected slides' and click a new option. Now for some more pizzazz ,let's add some background color. Go to your main tool bar and click 'format'. On the dropdown click 'background'. Click the little blue down arrow for color options and then choose your color and click on it. You can then preview it and keep it if you like or try experimenting with 'fill options' to add a unique background. Just remember to not get too busy with the number of textures and items on the page. Now let's add the final tear jerking element to what will soon be your finished product. Go to your main tool bar and click 'insert'. On the drop-down click 'movies and sounds'. On the next drop-down click 'sound from file', 'play CD audio track', 'record sound' or 'sound from clip organizer'. Since you are a beginner I would highly suggest the 'play CD audio track' option. This will allow you to play your favorite CD into the slide show or you could play some tearjerker type song such as "Butterfly Kisses".
At the main tool bar click 'insert'. On the drop down click 'new slide'. A new slide will pop up for you in order of addition. Repeat the above steps with your new slide and continuing adding slides until you are happy with the size of your album. Go to your main tool bar one last time and click 'file'. On the dropdown click 'save'. Where it says 'my documents' click the blue down arrow and look for a file that says something similar to 'DVD/CD-RW Drive (E). Insert a DVD into your drive, add a file name at the bottom of this box and click on this option. In a few moments you will have burned a DVD to proudly show. Insert your disk and click 'view slide show'. When the show is done playing through, simply press your escape button. You can also run the show manually, pause it and write comments on it by clicking the buttons at the bottom left hand corner of the show. Now that you know the basics feel free to experiment. That is truly the most fun and exciting way to learn PowerPoint. It seems there is a new surprise around every corner with this program.
