  1. FRANKLIN TIME MANAGEMENT SYSTEM

  2. INTRODUCTION • GETTING THE MOST OUT OF THIS EXPERIENCE. • TAKE NOTES TO RETAIN 75% OF A NEW SKILL. • WHO NEEDS THIS SKILL? • WHO IS BUSY DEVELOPING THIS SKILL? • IF YOU HAD ONE MORE HOUR EACH DAY, WHAT WOULD YOU DO WITH IT?

  3. A NATURAL LAW • WHAT IS A “NATURAL LAW”? • “A LAW THAT CANNOT BE REPEALED!” • “AN INHERENT PRINCIPLE GOVERNING HUMAN BEHAVIOR.” • “A SUCCESSFUL MANAGER OF TIME IS WILLING TO DO WHAT AN UNSUCCESSFUL MANAGER IS NOT WILLING TO DO!” • “WISDOM IS KNOWLEDGE RIGHTFULLY APPLIED!”

  4. UNDERSTANDING TIME MANAGEMENT • WHAT TIME IS IT? OR • TIME, WHAT IS IT? • THE BASIC ELEMENT OF TIME IS ______. • THE KEY TO MANAGING TIME IS ______. • TIME IS A CONTINUUM OF SUCCEEDING EVENTS. • THE “KEY” TIME CONCEPT IS CONTROL!

  5. PROACTIVE VS. REACTIVE • HAVE I LOST CONTROL OF MY LIFE? • WHAT ARE THE EVENTS OVER WHICH I HAVE NO CONTROL? • WHAT ARE THE EVENTS OVER WHICH I HAVE CONTROL? • THERE ARE EVENTS WHICH WE CAN CONTROL; BUT WE BELIEVE WE CANNOT! • THERE ARE EVENTS WE CANNOT CONTROL; BUT WE BELIEVE WE CAN!

  6. PERSONAL MOTIVATION IS THE KEY TO TAKING CONTROL • EXAMPLE: “GETTING TO THE AIRPORT” • EXAMPLE: “ROOF TOP” • NL - TO GAIN CONTROL OF OUR LIVES WE MUST GAIN CONTROL OF OUR TIME. • TIME MANAGEMENT IS NOT CONTROL OF THE CLOCK! IT IS THE CONTROL OF EVENTS! • NL - INNER PEACE IS ACHIEVED THROUGH THE APPROPRIATE CONTROL OF EVENTS IN OUR LIVES.

  7. THE EFFECTS OF CONTROL • “EVENT CONTROL” IS FIRST AND LEADS TO… • “HIGH SELF ESTEEM” WHICH IN TURN LEADS TO… • “HIGH PRODUCTIVITY” • AN INCREASE IN PRODUCTIVITY STIMULATES… • EVEN MORE “EVENT CONTROL” WHICH CAUSES… • HIGHER “SELF ESTEEM” WHICH LEADS TO… • EVEN GREATER PERSONAL PRODUCTIVITY!

  8. BUSY VS PRODUCTIVE • MUST BE DIRECTED BY “GOALS.” • A “GOAL” IS A PLANNED-FOR EVENT. • WHEN A “GOAL” IS VALUED, IT BECOMES A PRIORITY. • WHEN GOALS ARE VALUED TOGETHER THEN “PRIORITIZING” IS TAKING PLACE. • “PRIORITIZING” IS THE PROCESS OF DETERMINING THE PRECEDENCE OF “EVENTS”.

  9. LIFE QUESTIONS OF IMPORTANCE • WHAT ARE “HIGHEST” PRIORITIES IN MY LIFE? • OF THESE “PRIORITIES”, WHICH DO I VALUE MOST? • AM I WILLING TO BE SUCCESSFUL?

  10. THE FRANKLIN PROMISE • IF YOU KEEP ALL FOUR “MAJOR COMMITMENTS” REGARDING THE FRANKLIN DAY PLANNER SYSTEM, NOTHING WILL SLIP THROUGH THE CRACKS. • YOU WILL NEVER MISS A DEADLINE, AN APPOINTMENT, OR FORGET IMPORTANT/NEEDED INFORMATION FOR FUTURE USE. • YOU WILL BE ON “TOP” OF THINGS IN YOUR LIFE!

  11. PLANNING THE FIRST KEY TO CONTROL THE FRANKLIN DAY PLANNER SYSTEM FOUR MAJOR COMMITMENTS FOR SUCCESS

  12. FIRST MAJOR COMMITMENT • I WILL PLAN TO SPEND 10 TO 15 MINUTES EVERY DAY PLANNING MY DAY FORMALLY! • PLANNING AND SOLITUDE

  13. PLANNING IS: • PREDETERMINING A COURSE OF ACTION • THERE CAN BE NO SUBSTITUTE FOR PLANNING • HOW DID YOU PLAN FOR TODAY, YESTERDAY, AND TOMORROW?

  14. EXCUSES FOR NOT PLANNING • PLANNING LIMITS FREEDOM. • PUTTING OUT TODAY’S FIRES TAKES PRECEDENCE (CRISIS MANAGEMENT). • THERE ISN’T ENOUGH TIME TO PLAN.

  15. STEPS IN EFFECTIVE PLANNING • REVIEW LONG-RANGE GOALS • EVALUATE TIME VS. TASK • SET SPECIFIC DAILY GOALS • ANTICIPATE OBSTACLES • PRIORITIZE TASKS

  16. THREE MORE MAJOR COMMITMENTS • MY DAY PLANNER WILL BE WITH ME ALWAYS! • I WILL HAVE ONLY ONE CALENDAR IN MY LIFE! • I WILL RECORD DETAIL IN MY PLANNER!

  17. WORLD OF FRANKLIN DAY PLANNING SYSTEM • BUILDING THE DAY PLANNER • BUILDING THE STORAGE BINDER

  18. PRIORITIZING EVENTS: • THE VITAL FEW = A HIGH VALUE - VITAL MUST BE DONE • THE IMPORTANT MANY = B • MEDIUM VALUE - SHOULD BE DONE • THE TRIVAL POSSIBLIITIES = C • LOW VALUE - COULD BE DONE

  19. VITAL IS NOT URGENT • URGENCIES ACT ON PRIORITIES BUT THEY ARE NOT PRIORITIES. • URGENCIES SEEK TO DEMAND IMMEDIATE ATTENTION. • URGENCIES SURFACE ALL BY THEMSELVES. • VITALS ARE PLANNED FOR NECESSITIES. • HOW DO YOU HANDLE YOUR RESPONSE TO TELEPHONE REQUESTS?

  20. NON-DISCRETIONARY TIME • SCHEDULED EVENTS - TIME YOU HAVE ALREADY GIVEN AWAY. • NO LONGER YOUR TIME. • DAY PLANNER - THE “APPOINTMENT SCHEDULE” ON THE LEFT HAND PAGE.

  21. DISCRETIONARY TIME • “PRIORITIZED DAILY TASK LIST” (PDTL) • LEFT HAND PAGE OF THE PLANNER.

  22. STEPS TO CREATE THE PRIORITIZED DAILY TASK LIST • PHASE I - MAKE A LIST OF EVERYTHING I WANT TO ACCOMPLISH TODAY. • PHASE II - ASSIGN A “VALUE” (A,B,C) TO EACH ITEM IN THE LIST. • PHASE III - ASSIGN A “NUMERICAL” (1,2,3,ETC.) VALUE TO EACH ASSIGNED LETTER (A,B,C).

  23. SYMBOLS FOR SYSTEM USE • TASK COMPLETED ( ) • TASK PLANNED FORWARD (NOT COMPLETED) ( ) • DELEGATED TASK ( ) • TASK IN PROGRESS ( ) • TASK DELETED (X)

  24. THE TRANSPORTATION SYMBOL • THE ( ) INDICATES WHERE SOMETHING IS GOING OR WHERE SOMETHING HAS COME FROM. • THE ( ) IS CRITICAL. IT KEEPS YOU FROM LOOSING WHERE THINGS ARE IN THE PLANNER. • LOOK FOR THESE ( ) ON YOUR “DRE” PAGE IN THE “PLANNING & SOLITUDE” TIME AND MAKE THE DECISIONS REQUIRED.

  25. SOME ADVANCED TIPS • SCHEDULE “NON-DISCRETIONARY” TIME FOR SELF. • ADD “DRE” PAGES FOR NECESSARY DETAILS. • ELIMINATE “FLOATING PAPER” FROM YOUR LIFE • GET RID OF THE “POST-IT” NOTES THAT COME TO YOU • REDUCE IMPORTANT REGULAR SIZE PAGES • REDUCE ON COPIER BY 25% - CUT TO SIZE • SEVEN HOLE PUNCH - PLACE IN YOUR PLANNER • USE DIFFERENT COLORS FOR INDICATING - WORK RECORDINGS, FAMILY RECORDINGS, ETC.

  26. MORE TIPS • PLAN MONTHLY MAINTENANCE PLANNER SESSION • WORK ON THE “MASTER TASK LIST” • WORK IN THE “TAB” SECTIONS OF THE PLANNER • STUDY THE “FRANKLIN CATALOG” FOR • SUPPORT PRODUCTS TO ENHANCE THE SYSTEM • REFERENCE MATERIALS ON IMPROVING SKILLS • COLLECT “CHECK MARKS” DURING THE DAY AS OFTEN AS YOU CAN - GIVES YOU A “HIGH!”

  27. SYSTEM ORGANIZATION • YOU CARRY THREE MONTHS OF THE YEAR WITH YOU • LAST MONTH, THIS MONTH, AND NEXT MONTH • CARRY ALL TWELVE “MONTHS-AT-A-GLANCE” • ALL OTHER MONTHS (9) IN THE STORAGE BINDER • AT THE END OF THE MONTH, PUT THE LAST MONTH IN THE STORAGE MONTH IN THE STORAGE BINDER AND PUT THE NEXT MONTH IN THE DAY PLANNER. • KEEP THE STORAGE BINDER WHERE YOU DO YOUR PLANNING AND SOLITUDE SESSIONS.

  28. DAY PLANNER TABS • ADDRESS / PHONE • VALUES / GOALS • FINANCES • KEY INFORMATION • READY REFERENCE • PLANNING CALENDAR • NUMBERED TABS (1-6)

  29. USING THE NUMBERED TABS • ASSIGNED TOPICS • PROJECT ORGANIZATION • DESIGNATED PEOPLE • ANY CREATIVE USE THAT ASSISTS YOU • YOU CAN GET NUMBERED TABS UP TO NUMBER 36.
