Step 1. Heading • The heading appears in the upper right-hand corner. It contains the sender’s address and the date the letter is written. • Include: • Your street address. • Your city, province and postal code. • Type the date, including the month, day and year.
Step 2. Inside Address • This is the person’s contact information. • Include: • The name of the person to whom you are writing. • The person’s title. • The name of the company or organization where the person works. • The street address where you are sending the letter. • The city, province and postal code.
Step 3. Salutation The salutation is the greeting. Type in the name or title of the person to whom you are writing. You should use Mr. when addressing a man and Ms. when addressing a woman. A colon should be included at the end of the salutation.
Step 4. The body The body is the main part of the letter that tells what you have to say. In the first paragraph, explain why you are writing. As a general rule, you do not usually indent paragraphs in a business letter, but remember to include a space between each paragraph.
Step 5. Closing • The closing is used to end your letter. • The closing can change depending on to whom you are writing. Here are some examples: • Sincerely, • Yours truly, • Cordially, • Regards, • A comma should be included after the closing.
Step 6. Signature This is where you include your name. Type your first and last name for the signature. Remember to sign your name under the closing after printing.
