Insertion Point Determines feedback from toolbars, ribbons and ruler
Formatting Commands • Commands vs Tab and Spacebar • More efficient • Easier to edit • Paragraph • Place insertion point anywhere in the paragraph or select any part of several paragraphs • Word • Place insertion point anywhere in the word or select exact characters
Formatting Terms • Indent-move away from margin • Hanging Indent—first line of paragraph closer to margin than subsequent lines • Header and Footer—separate from body of document
Formatting Terms • Hard page break—fixed page break inserted by the user • Soft page break—created as text flows to the next page • Horizontal alignment (left, right, center, justify) • Set Tab—defined horizontal position
Style • A collection of formatting commands that can be applied at one time • paragraph styles • character styles • Basis of many automated features in Word • Normal style (default paragraph style) • Built-in heading styles (Heading 1, Heading 2, Heading 3)
Default Font • Underlying style for all documents • Must change default to actually change primary font • Open the Font dialog box (CTRL+D) • Select the font and size • Click Default button • Confirm the change
Special Characters • Superscript and subscript (CTRL+Shift+Plus, CTRL+Equal) • Fractions ¼, ½, ¾ (applied using AutoFormat As You Type) • Nonbreaking space and nonbreaking hyphen (CTRL+Shift+Spacebar, CTRL+Shift+Hyphen)
Paragraph Formatting • Commands stored in Paragraph mark • All commands found on Paragraph dialog box • Horizontal alignment (left, right, center, justify) • Line spacing (single, double, 1.5) • Paragraph spacing (Space before, Space after) • Paragraph breaks (Widows, Orphans, Keep with next) • Tabs
Keep with Next • Prevents heading from separating from related text across a soft page break • Apply to headings in boilerplate
Set Tabs • Click Tab-type indicator • Click tab position on Horizontal ruler • OR Use Tab dialog box
Left Indent • CTRL+M, CTRL+Shift+M • Set a tab to control depth
Right Indent • Slide right-indent marker on Horizontal Ruler • OR Use Paragraph dialog box
Hanging Indent • CTR+T, CTRL+Shift+T • Set tabs to control depth
SOAP Note • Combination of indent and hanging indent • AutoFormat As You Type dialog box • Disable Automatic numbered lists • Disable Set left- and first-indent with tabs and backspaces
SOAP Note • Assessment #1—hanging indent with two set tabs • Assessment #2—indent with hanging indent
Remove Formatting • Direct formatting—added on top of style • CTRL+Q—removes direct formatting • CTRL+Spacebar—removes character formatting • Reapply Normal style (CTRL+Shift+N)
Troubleshoot Formatting • Display formatting marks (CTRL+Shift+*) • Reveal Formatting task pane (Shift+F1) • Remove formatting (CTRL+Q or CTRL+Spacebar)
Troubleshoot Formatting • To remove excessive white space, look for Space before, Space after, Keep with next or Start new page • Undo (CTRL+Z) immediately following unwanted format change
Page Margins • Drag shaded area of Horizontal and Vertical ruler OR • Use Page Setup dialog (double-click shaded area of ruler to display) • Set Default
Headers and Footers—Word 2003 • Use Header and Footer toolbar to manage (displayed when Header/Footer opened) • Use fields for page numbers • Click Different first page (for different header on second page) Page Setup dialog box > Layout tab • Use section breaks to manage multiple headers/footers • Double-check using Print Preview (CTRL+F2)
