  2. 3LUC – First Steps • Grant agreement • Concluded between grant holder (DUK) and European Commission • Provides the legal basis for the project - including all important information • Important issues are sent separate -> Next step: copy per email to all Partners for information

  3. 3LUC – First Steps • Mandate • Agreement between the grant holder and each partner of the project 3LUC • Basing on the Grant agreement between European Commission and grant holder • Mandates become integral part of the Grant agreement -> Next Steps: Mandate is given to the partners, needs to be signed by the legal representatives of the partner institutions and sent back in original per mail to the DUK

  4. 3LUC – First Steps • Convention for Staff costs • Agreement with each person involved in the project and his/her institution • Basing on duties to fulfill in the project and on hours of work • Important: conventions need to be kept by the grant holder (DUK) for audit purposes of the EK • -> Next Steps: • Convention for Staff costs is sent to each partner institution • Each person involved in 3LUC (working hours and costs as agreed in the proposal), needs to fill the convention and sign it • The documents need to be signed as well as by the legal representatives of the partner institutions • Accomplished conventions have to be sent by mail to the DUK

  5. 3LUC – First Steps • Individual Grant Holder Report for Staff travel and costs of Stay • Each journey of each person involved in the project needs to be described (activity) and put together with original tickets. • Grant holder Reports need to be done from each person involved after each journey. • Important: The Individual Grant holder Reports form an essential part of the final report and therefore need to be kept by the grant holder (DUK) • -> Next Steps: • Each person participating gets and fills the form: personal data, period spent abroad, and signature of person. • description of activity performed (on a separate sheet), • Additionally: all original tickets, invoices, bills from this journey. • Bank account of person: Bank, bank account no., BIC, IBAN, account holder • all sent per mail to DUK • After internal check: transfer of money to bank account
