July 2014 Intranet Activity: IT Services & Building News Most Visited, HR Related Pages, and Staff Directory

In July, there were 1,077 views of the IT Services & Building News, 24,689 views of HR related pages and 2,144 views of the staff directory. The Ministerial Reshuffle appeared twice in the top read Intranet news articles. Views of the Daily Evolve page have decreased, while views of the staff directory have doubled.

Intranet Activity: July 2014 Most visited Intranet areas 1,077 views of the IT Services & Building news In July the About BIS & How Do I tabs changed position on the homepage successfully encouraging users to navigate using tasks 24,689 views of the HR related pages Against last months results 2,144 views of the staff directory 54% 25% 47% 39% 16% 12% 33% 20% Over 141,000 sessions 19,441 unique searches Top 10 most viewed Intranet Stories Top Searched items The Ministerial Reshuffle appears twice in the top read Intranet news articles this month and the Ministers pages were the second top task viewed across the month. Views of the Daily Evolve page have halved since last month suggesting that staff have found the information they need to become familiar with working with the new IT equipment, Views of the staff directory have doubled since last month suggesting integrating this better into the site itself would be useful for staff.

Direct Communications: July 2014 This Week in BIS – All Staff Newsletter Readership Internal Communications Breakdown of Messages There is a slight reduction in the take up of This Week in BIS most likely as a result of the start of the school summer holidays/peak leave period or a reduction in smartphone usage after the initial rush at the time of Evolve roll-out. People messages dominated July and in particular Leadership messages because of the multi-channel Management Insight campaign, pension and pay announcements and the topics chosen by staff in the Big Debate.

Would recommend a visit to colleagues. The focus was on #stem. Of the 27 other questions proposed by staff, 66% related to HR, performance and capability There were 104 responses to the vote on the 8 possible questions The exhibition space ‘BIS Spotlight Gallery’ has received some really useful feedback especially on social media. We are considering how to encourage more feedback from staff and visitors to make future exhibitions truly interactive. The Big Debate was well received, especially the use of external speakers. As the first in a series this event was useful in gauging staff appetite for this event. We know staff appreciate the opportunity to get involved but it appears some staff were reluctant in sharing their views. We are implementing ways for staff to submit questions before-hand and will utilise Yammer to encourage others to get involved in the debate.

Role model knowledge exchanges. Set direction in how BIS manages connections and relationships. Enable senior leaders to give feedback to staff from their relationships with others 20 1,240 4 1 2 weeks 2 BIS Intranet Evolve is the one message most recalled spontaneously. When prompted, a range of messages come through, including nine out of ten recalling BIS story and more than eight out of ten recalling BIS Festival and Permanent Secretary Awards among others. • Almost all communications channels have improved since last year; only the intranet is felt by more people to have worsened than improved. • Critical Friends Network explain • most likely to be hit by Evolve roll-out • Search function is better than the old • A to Z but • initially it was gov.uk blandness 86% agreed they learned something valuable about management they’ll use. 74% felt engaged with the Department. 67% rated the quality of the presentation as excellent orvery good. 63% felt comfortable sharing their views with colleagues/senior manager. “The subject matter from John O’Reilly’s talk was not something I am very familiar with and I found the event both interesting and informative.” “Kate Gross’ presentation was excellent. I have attended several in the past and this is one of only three people whom I went back to my desk and googled/talked about to my team. I think she had lots of ideas that were interesting, new, based on experience and therefore easy to relate to, and relevant” “I liked the informal nature of this event and it would be good to see other DGs or Directors doing the same, not least to improve their own visibility” Internal events are positively viewed and felt to have a positive effect on understanding and engagement… the vast majority felt that they had helped gain greater understanding, feel more engaged or been helped to understand BIS’s purpose better. “These are good occasions for unscripted discussions between senior management and the rest of the department, where a range of topics can be raised and some useful bottom-up feedback can be conveyed that might otherwise be filtered. It does depend on honesty from the audience” Posters and Yammer have particularly improved, according to those who use them Critical Friends Network explain “…posters are providing a strong sense of branding” “It was useful to hear Philippa’s experiences and some of the lessons she's learned along the way. While the performance management process and people's concerns about it are very important, I'm not sure this was the right forum for those questions.” “Kate Gross was a very engaging, inspiring speaker. One of the best Management Insights events.” “…is there more that can be done to ensure that attendees focus on the point of the session (learning from senior managers experiences) rather than using it as an opportunity to quiz senior management on issues within the Department” “Keep these sessions small - it helps with the flow of conversation. Too many and it becomes too formal.” The Management Insight series received some valuable feedback from staff who (from the scores) feel more confident getting involved when events are smaller. Staff say that the informal nature of this event encouraged open conversation. Initial findings from the Channel Audit are very positive. Staff said that they most used internal Posters to find out what’s going on in BIS. The Intranet was the only channel that staff said had worsened. We are aiming to respond to feedback about ‘GOV.UK style blandness’ by incorporating more images to news articles and interactive feedback channels.
