Scope Scan & Capture data from Deeds – Names, Date, Value, Location, Doc Number Reception Index Registers – Names, Reception #, Date, Time Legal Index Registers – Parcel Number, Surrounding Land, Owner, Doc number Period Covered 1890 onwards Automatic Linkage of the above 3 types of data
Challenges Moving Goal Posts Poor Microfilm Quality Resulted in Onsite paper Scanning Inaccurate Determination of register size Reengineer process Missing Documents/ Registers Scan & Create Microfilm Shrinking timelines Multiple Shifts
Challenges – Auto Linking Inconsistent Doc Numbering Inconsistent Doc Type Changing Binding/ Numbering Conventions Handwriting in Color Inks Spelling errors Legibility issues Result – only 32% autolinked
