PaywhizProfessional – Start-up screen Login screen of PaywhizProfessional software itself highlights the following features of the software. • Secure, protected by passwords, unauthorized entry to system is not permitted. • The latest version month and year is available for your review on start-up screen. • Network enabled software so that workstation user may select the database and license from server. • Update Database Structure link on start-up screen reduces the risk of data loss at the time of updation of PaywhizProfessional from old version to new version.
TDS Module • Click to Application menu ->TDS here first we have to create a group and assessee in TDS, later which will be linked in PaywhizProfessional. This will enable us to compute the Income Tax and prepare form 2E, Form 16 and Form 24 based on the monthly salary entered in PaywhizProfessional.
Define Group 1 2 • Select the Deductors->Group in TDS module to create a new group. • This action will open this window where you may define a new group and mention relevant details. Each group may have a different Passwords for secured access. Remember group is just a category where later you may mention more than one company under one group.
Define Assessee • Select the Deductors->Assessee option, click on Add button and enter the details of the assessee (Company) • The details mentioned here will be displayed on various forms like Form 16, Form 24 etc. • Remember to Mark as a Employer* and selected as a monthly option.
* Additions / Deductions details • Once you click on Save button will open the above mentioned screen. • Mention all addition heads here observe that Conveyance, HRA in addition and Professional Tax, Provident fund, TDS and Insurance in deductions are predefined heads. • * Tick the appropriate options as per the legends given beside. • The additions and deductions entered here will be linked with additions deductions in PaywhizProfessional to take effect of TDS auto-computation.
1 2 Company Information - I • Now select Application->PaywhizProfessional then select Miscellaneous->Company Information to create a new company. • (1) select the above mentioned tabs to set the other necessary options as per your requirement. This part is described in detail in next Slide • (2) After entering the details select option Link to TDS and select the group and assessee created in TDS
Company Information - II There are total 6 Tabs at the top. • Monthly Data allows to select the month from when the PaywhizProfessional process will start • Payslip Particulars option allows you to select the predefined format of Payslip which is suitable for your requirement • Human resources option is useful when an employee is working n project basis. • The next step after defining the company master is to create the appropriate masters like Categories, designations departments etc. this section is described well in following screen.

Master definitions Use above mentioned menu to define • Branch definition allows to process Payroll branch wise. Here also every code can be defined as branch specific. • Categories – Permanent, Temporary, Trainee etc. Salary structure can be designed based on the category, Mandatory • Departments – Various departments that you may have like Sales, Development, Accounts etc. • Designation – To define the designation master. • Project – To define the Project.
Define Variable • The PaywhizProfessional software allows you to create your own variables and formulas. This also lists all the variables you have created to make the formulas. The Add Unit button enables the text boxes, you may enter your Unit variable here and save the variable entered. Following are the predefined variables:
A B C D E F G H Codes Definition - I • Definition of code is as given below • Code – Unique ID for Code, Additions to salary code will prefix ‘A’ like A01, A02 etc and Deduction code will have prefix as ‘D’ like D01,D02 etc. • Description – Description for the code which will describe the head and will be printed on Payslip and PaywhizProfessional register. • Add/Ded – Mention whether it is a addition or deduction to the salary. • Slab – If computation is plain or made on slab base like Professional Tax.

Normally it is a formula except Income Tax / TDS head. The formula Section is described in next slide along with live example. • TBCode – this is the link in TDS. For each addition and deduction code there is a respective code in TDS which is to be linked here. • This section is a self explanatory. For each head above select the appropriate option. Remember the TDS code is to be given a more attention. While defining TDS code if you want to compute TDS automatically then mark it as Manual in Formula and Tick to the option “Income Tax”. • The formula and slab definitions is given in next slide with example which you may redesign as per your needs

Employee Information • This screen is divided in 2 separate parts. The upper part contains the static information about an employee like name address, date of joining, birth date, PF details, mode of salary payment option etc. the lower part covers the monthly salary rates here you need to enter the figures that are mentioned as M01 in formula rest of the heads based on formula will be auto computed. The rest of the heads Loans and Leaves allows you to enter opening balances for loans and leaves respectively. • The above mentioned screen is self explanatory. Token No. is generated automatically or you may change it if required. Please fillup all the information for the employee for accurate reports. The resignation date is to be entered here if any employee leaves a job. You may also import this information from Excel sheet.
Personal • On click of "Export" button PaywhizProfessional exports the particular employee's details in new .mdb file. This option is exclusively used for customer support as user can export the employee's details and the new .mdb file can send for further processing. • In this screen user can enter personal information of an employee like Personal Details, Educational Qualification, Family Member’s Detail & Nominee Details.
Payment Mode • In this screen user can enter Payment mode details of Cash, Bank, Transfer and also tick the ECS.
PF/LIC/ESIC/PT • User can enter PF, LIC, ESIC and PT details in above screen. • Similarly Prev. Employment, Emergency Info and Others are filling details.
Time Sheet • To enter the details of attendance, leave and loan details please select the menu Data Entry->Time Sheet Here you may enter the total no. of days attended, leaves, leave without pay and loan taken, once you save this information PaywhizProfessional will auto-compute all the additions and deductions at actuals • You may click the Payslip Button or select Report->Payslips to view the pay slip for the particular employee. Payslip is explained in next screen in detail • Remember that Time sheet is available for one employee at a time. To process the PaywhizProfessional of all of the employees please select the options Data Entry->Auto Generate Data->Other Details will show you the list of employees. Then click the button Fill grid and generate data. Click Save to save the changes. To take effect of the same in TDS module use Menu Miscellaneous->TDS Transfer.
Payslip • A screen shot give here is a Payslip showing addition and deduction to the salary along with other details. You may attach the logo of your company for better presentation. Almost all the report along with Payslip has a feature of Export to word, Export to PDF and email. The printout can be taken on Inkjet as well as DMP (Dot Matrix) printer.
Full & Final Settlement • This option is used for Full & Final Settlement of the Employee quitting from the job or the Company .
Bank Details • This menu allows to store bank details of employees. As per the above figure it displays the Employee Name and text box to enter the cheque no and drop down to enter bank. The bank details i.e. cheque number and bank name entered in time sheet can be seen on this screen. • After entering bank details for all employees click on “Save” button to save the bank details.
Leave Codes • This slide shows the Screenshot of Leave Codes. It gives the information about leaves taken by the Employee as per the month on which data is to be processed. . • Left hand side list box displays the all leave codes. On selection of leave code the right hand side grid will get filled showing the leave information of all the employees viz. Opening number of leaves, Leave taken etc. This screen also allows to enter number of leave days availed by each employee. • To change the opening number of leaves, tick the check box 'Allow changing Opening & Add leave'.
Other Details • This option facilitates to generate data i.e. processes time sheet of each employee. To process time sheet using this option certain information needs to be provided like leave during the month, incase of new employees the payable days, incase of manual rates the rates need to be entered etc. • Click on “Fill grid” to fill the grid with sorting as per employees name or Token No. This grid displays the employees name Token No along with computed TDS, VPF and bank details like cheque no and bank name. • Click on the “Generate Data” button to process the data. • Note : If the "Run Annual Procedure after generate data" is ticked then after generating data it will process for the annual details of employees to compute TDS.
Income Tax Computation • This option will process the annual data to compute the income tax for the selected month from monthly data. • Click on “Yes” to process the data.
Bank Loan Details • This screen shows Bank Loan Details of the employee. • If you click on New button it displays New Loan screen. In this you can enter loan number, principal, • EMI, Interest rate ,Start & End date of the loan repayment, no of months etc. • The user can also take a print of Bank Loan Repayment Schedule on clicking on Print button.
Monthly Other Payments • This option facilitates to generate data i.e. processes TDS computation of employee. To compute TDS using this option certain information needs to be provided like Incentive, TDS. • Click on “Fill grid” to fill the grid with sorting as per employees name or Token No. This grid displays the employees name Token No along with computed TDS. • Click on “Save Other Payments. TDS in Payroll” button to process the data. • Click on the “Compute Tax” button to Annual Data transfer and computation of TDS. • After that click on “Save TDS” button to save the data. • Note : If the "Run Annual Procedure for all Employees after generating data" is ticked then after generating data it will process for the annual details of employees to compute TDS.
Branch/Project Ratio • This screen shows the Branch/Project Ratio of all Employees. • User can change the month by clicking on “Change Month“ button and sort order by Name of the Employee & Token No.
Reports • PaywhizProfessional covers wide range of reports required for day to day working like Payroll Register, Earn Card, Leave Register, Loan Register Increment Chart, Headwise/Deduction report, Slab summary, Transfer Instruction Letter, Retention report and much more…
Payroll Register • It has “Consolidated Report“ option. If user click on this check box it opens new window. • In this user can give the path of database which is used for consolidation and Name of the company. • Branch Wise Selection Criteria is given. • Register format has 2 types Portrait and Landscape. If user select Landscape format then Revenue Stamp space option is get enabled. • It has Excel Export, CSV format , Year to Date options. • Again in format 1 and format 2 there are various options for sorting.
Leave Register • Leave Register displays the leave records of selected employees for the selected year and month. • Select leave Register for the year. Tick 'For the Month' check box and select the month then select the employees. • Now click on the “Print” button to display the report. • Leave Register Report Format-
Loan Register • This report prints the loan details for the specified period. Select loan Register for the year. Tick 'For the Month' check box and select the month then select the employees. • Now click on the “Print” button to display the report. • Loan Register Report Format.
Payslip • 'Payslips for the month of ' option allows to select the month for which payslips to be printed along with criteria of branch • i.e. For specific branch or all branches as per the token no. from till token no. • Different Payslips formats are available in Company Information, select tab Payslips Particulars and select the Payslip Format from the drop down list. • Click on the “Print” button, will display the Paylisps.
Provident Fund Module • This menu displays 'PF Information' screen as shown in the above given screen. This screen facilitates to store the PF information of employees. On the basis of stored information 'PF Information' screen prints forms related to PF viz. Form 12-A, form 3A, Form 5, Form 6-A etc. • The first Tab 12-A displays the information which will be printed on 12-A along with the facility to select the month of statement of contribution and name, address of the bank in which the amount is remitted, data of remittance. On click of “Recalculate” it recalculates all amounts. On click of “Save” it saves the details entered manually. On click of “Print” it prints form 12-A.
Nominee Information • Nominee information screen allows storing nominees information of all employees. • To enter the nominees information select employee name from 'Employee' drop down. This drop down displays the name of all those employees who are applicable for PF. (To make employee applicable tick PF Applicable check box from Data Entry – Employee Details – 'Master' tab, in case VPF Percent is specified the PF will be treated as Voluntary PF at specified percentage.) • After selecting Employee, enter the nominee details in the text box below the grid head. • Click on save to save the nominee details. • On click “Print Form 2”, prints the form 2 (Revised) for the selected employee.
Other Forms • ‘Other Forms' Tab Displays other forms related to PF. • Double click on the form to print the form.
Reports • ‘Report’ Tab Displays all reports related to PF. • User can select branch from “For Branch” drop down. User can sort this report by Token No., Name, PF Number of the employees. There are various reports such as PF statements, Monthly Pf / Pension contributions, LIC information report etc.

Employee PF Information • 'Employee PF Information' tab displays the Employees PF Information along with the facility to update the same. • To update the Employees PF information select the employee then click on the update button then update the information like to make employee PF applicable select yes from the drop down 'PF Applicable', enter the PF Joining date, VPF Percentage etc. • Click on “Update” button to save the updated information.
PF Payment Challan • This screen shows the provident fund payment Challan details. • User can recalculate this by clicking on ‘Recalculate’ button. • You can save this by click on ‘save’ button. • Click on ‘Print’ button to print the Challan.
