Microsoft Outlook 2010 • We all use this every day. • Do we use all of the features it has? • Outlook & Lync use the same login. • Outlook will be available at home. (Announced @ B.B.)
File Features • Controls what is considered “backstage” information. • Manage Accounts • i.e., add home account. • Automatic replies, such as “out of office” • Clean up tools… emptying mailbox. • Rules and alerts…manage incoming emails, etc.
Navigating in Outlook • Ribbon is at the top like other Office 2010 programs. • Many functions that allow variable look of page. • Contains most frequently used commands • Navigation pane allows you to switch what you are viewing. (Left side of Home) • Mail, Calendars, Contacts, etc.
Navigating in Outlook(continued) • “To Do” bar, allows you to keep track of upcoming appointments, meetings, or tasks. This is found on the right side. • Take a few minutes to familiarize yourself with these two features of Outlook.
Changing the appearance of the window. • If you want more viewing area for what you’re reading, minimize the two side panes. • At the bottom is the status bar, which allows you to go from normal to reading views. • Zoom control also
Large buttons control main features of Outlook. • Found at the bottom left of Navigation pane. (Left side) • Mail • Calendar • Contacts • Tasks • Notes • Folders • Shortcuts
When you go from button to button, the ribbon at the top changes to perform different tasks. • You can also make it so fewer buttons show by dragging arrow down or up. • Take a minute to play with the navigation buttons.
Mail • Contains various folders of correspondence history. • Inbox • Drafts • Sent Items • Deleted Items • Conversation History, such as Lync. • Junk E-mail • Outbox
Calendar • This is one of my favorite features. • Allows you to make multiple calendars. • You can then share, email, etc. • Select multiple calendars and blend or merge on to one main calendar, as if they’re overlayed. • Take a few minutes to make some calendars, and look at the options of how you can use them.
Contacts • Add as individuals or groups. • You have many options in the ribbon of how to communicate and manipulate contacts. • Change appearance…cards, lists, phones, etc.
File Storage and Sharing • 2GB of storage • 14 months retention policy • Public Folders • Sub Folders • Personal Folder sharing • Calendar sharing • Address Book & sharing

Lync • Now let’s talk about Lync. • Who hasn’t used Lync? • Some of the features of Lync • IM feature, all have probably used • Video conferencing, live chat, etc. • Sharing of documents, desktop, powerpoints, etc.
Instant Messaging (IM) • This is the world we live in. • It’s nice to have this feature at work. • Chat with colleagues • Shows availability • Green, Yellow, Red • If anyone hasn’t used this, do so for a couple minutes.
Video Conferencing • When chatting with someone, you can go to live chat, or video conf. • Much better when you can speak “face to face” • Sharing Programs
