  1. Instructions for Moving a Cognos Report Studio Query to a New Package

Changes to the ODS • The Office of Institutional Information and the Office of Technology services are modifying many of the Operational Data Store (ODS) packages to mask social security number. • This requires: • copying the Sungard delivered packages, • modifying the copy, • removing the delivered package from Cognos.

  3. good news and bad news… “Mr. Corleone is a man who insists on hearing bad news immediately." Bad News Good News Reports written using Report Studio can be modified and moved without starting from scratch. Your original report will continue to work for a while* so don’t delete them until you are absolutely sure you’ve successfully recreated them. Upgrades to Cognos and the ODS packages won’t break your reports. nor will future package customizations. So, you will never need to recreate your reports again. • All reports written using Query Studio based on Sungard delivered packages will need to be recreated from scratch using the IIT customized packages. • All reports written using Report Studio will need to be transferred to the IIT customized packages. * We will notify report authors at least two weeks prior to removing the standard package. After that deadline, reports not yet recreated in the new package will no longer function.

  4. Schedule for Reassigning RS reports Reassign reports to IIT customized packages : Now through Friday February 27th Any new reports created in Query Studio or Report Studio should be based on the new IIT package. These will not require package reassignment.

  5. What does this mean for me? Report Authors Report Viewers Run reports all day long! Have fun! Nothing will stop you! • Will need to revise queries that were written in Report Studio based on delivered packages, and transfer these from the delivered package to the customized package. • Will need to recreate from scratch queries that were written in Query Studio based on delivered packages. Please note: We will notify report authors one week prior to removing the standard package. After that deadline, reports not yet transferred to the new package will no longer function.

  7. What about packages for which an IIT version was published previously? Previously-customized Packages Required Action Reports based on these packages still need to be tested to make sure that the masking of the SSN did not “break” the report.   8. So, what’s the easiest way to reassign my Report Studio reports? So glad you asked… • The next several slides will coach you through the easiest way to reassign packages to your Report Studio reports. • In addition to recreating the report, we will also guide you through a brief verification process that will allow you to test* your new report. *Please note: This process will only verify your new report matches the output of your old report. Report writers are responsible for the accuracy of their reports.

Overview of the Steps in the Process Each of these steps is described in more detail in the following slides. • Run the original report as an MS Excel document and save on your desktop or network drive for later verification. • From the TOOLS menu, select “Copy report specifications to the clipboard,” • Paste the report specifications in a text editor (such as Notepad). • Identify the changes to the new package (e.g., package name, namespace name, data item name)

Overview of the Steps in the Process • Find/Replace all package, namespace and affected data item names with the new name. • Copy the updated report specification text to the clipboard. • Return to Cognos and navigate to the new “-IIT” package in Cognos. • Select a Blank report as the report frame. • From the TOOLS menu, select “Open the report from the clipboard.” • From the TOOLS menu, select “Validate the report.” • Run the new report and verify that it matches the original report output. • Save the new report with a new name.

  11. Step 1: Run Original Report • Launch Report Studio and open a report that requires a change to the package. • Run the report as an MS Excel document. • Save the Excel document to your desktop computer.

Steps 2 and 3: Copy & Paste Report Specifications • From the TOOLs menu, select “Copy report to clipboard.” • Open a text editing application, like NotePad or TextEditor, and paste the report code. Please Note: Use a text editor application, not a word processing application. This process should be completed in plain text.

Step 4: Identify Package Changes • Take a look at the new package and ask yourself “what’s different?” • Package name now has IIT added to the end. • Namespace name now has IIT added to the end. • For example: • “Student Detail” is now “Student Detail IIT” • Review the Package Change document to determine which labels were change during the package cloning process. It will be these labels you will need to update in your report specifications.

Step 5: Find/Replace Name Fields • From the EDIT menu of your text editor application, select “Replace” or “Find/replace” as appropriate. • Type the name of the delivered package in the ”Find What” area and the name of the new package in the “Replace with” area. • Make sure your cursor is at the VERY BEGINNING of the text and select “Find Next.”

  15. Step 5: Find/Replace Name Fields (cont.) • The first item meeting the criteria found should be the folder name. NOTE: the folder name has not changed and does not need to be replaced. • The text string for a folder should appear as follows: folder[@name=‘Student Detail’]

  16. Step 5: Find/Replace Name Fields (cont.) • Go through EACH instance where the text meets the Find criteria and replace EACH instance of Package label and Namespace label with the new name. • DO NOT replace any folder label references.

Step 6: Copy Updated Report Specifications to Clipboard • Once you are sure you’ve successfully corrected the Package and Namespace names, • Select All the text (Ctrl-A) • Copy the text (Ctrl-C) • This will create a copy of the updated report specification on your clipboard. HINT: Although it is not critical to save the text document that contains your report spec text, don’t close the application window until you’ve successfully finished all the steps and verified your report.

  18. Steps 7 & 8: Create a New Report Studio Report • Return to Report Studio. • Click the “new” icon. • Navigate to the new Package. • Select a Blank Report.

  19. Step 9: Open Report from Clipboard • From the TOOLS menu, select “Open report from clipboard” • This should replace the report specification text for the new report you just generated with the report specifications you altered in the process of find/replacing the Package & Namespace names.

  20. Step 10: Validate the New Report • From the TOOLS menu, select “Validate the report.” • This will verify that the report specifications work in the new report. Please note: if there are any prompted filters, you will need to select a value before the validation process verifies the report specifications.

  21. Step 11: Run New Report and Compare Output to Original Report • Run your new report as an MS Excel document. • Compare the output from your new report with the output from your original report (which you saved in Step 1). • At a minimum, confirm the following: • Number of output lines match. • First and last 5 lines of output data match. • Equivalent subtotals and totals match.

  22. Step 12: Save New Report • Save your new report in the appropriate folder WITH A NEW NAME • Be sure to include a • Meaningful document/report name. • Detailed description of the purpose and output. • Brief but descriptive screen tip.

  23. Well Done! Excellent! You’ve just reassigned packages to your first RS report… Now, rinse, lather & repeat, for surely there are more to reports to reassign!

  24. Deadline Reassign reports to IIT customized packages : Now through Friday February 27th Any new reports created in Query Studio or Report Studio should be based on the new IIT package. These will not require package reassignment.
