Data Management • Could also be called “file management”, “taking care of my teaching materials”, or “keep me from tearing my hair out”. • Consists of: • Controlling your data – knowing what you have and where it is located • Protecting your data – keeping it safe from harm by “bugs”, drive failure, etc. • Facilitating access to your data – know how to get to what you need in case of an emergency

Controlling your Data • NWACC computers -- save everything to your H drive • Local locations [C drive, My Documents] have no backup! • The H drive is backed-up every night automatically  • At your home computer: • Save to consistent location so you can find files easily • Consider investing in an external hard drive for backups • For Travel: • Remember that USB drives are easily lost --*remember FERPA* -- so keep a copy of your files in another location • You can also attach and email files to yourself

Protecting Your Data • First defense is Healthy Habits: • Regularly scheduled checkups: check disk, defrag • Scanning software • Viruses: Norton, McAffee, AVG [free] • Adware – AdAware [free] • Spyware – Spybot Search and Destroy [free] • Firewall – if you have high-speed internet • For NWACC machines, all these are handled by IT • For home machines, you must set these up

More Healthy Habits • Internet Habits • Pop-up ads -- don't click 'em! • Don’t open e-mail or links from unknown people • Never run any file you're unfamiliar with -- don't run .exe .com. or .bat file unless you know exactly what it is • “Lean mean speed machine” – get rid of unwanted files and programs to speed up your machine • Copy seldom-used files to CD-R’s • Delete unwanted items -- empty recycle bin, too • WebCT – email, discussions, old syllabi, old files -- can be backed up and saved to reduce storage space – contact Kate if you would like help with this

  6. Backup your Data! • In WebCT – two steps: 1. Use backup function • Make regular backups • You can have two backups in WebCT system • After major changes or on your own schedule 2. Download backups to your own secure storage place [H drive would work best for this] • For critical data, it is always best to have it saved in multiple locations • See Handout on how to perform Backups

Backup your Data! • On NWACC machines • H drive is backed-up each night • On your home machine: • Consider investing in an external hard drive • For travel: • Move files regularly to permanent storage • Remember security of confidential data [USB drives are easily lost -- *remember FERPA* Backups are only useful if they are done regularly. If your data changes frequently, you might consider using an auto-backup [scheduling] software

Data Emergencies • Be proactive: Give emergency access instructions to students: • Require students to print out tech support information, including alternate web addresses [see final slide] • Distance Learning phone number – for any student questions or problems – 479-619-4382 • Faculty WebCT Questions – to Kate -- 479-619-4299 • Faculty Tech support – 479-619-4357
