Using The Address Book • The address book is a book which contains all of your contacts. • Click Address Book • If you want to add a contact click New Contact • If you want to manage already existing contacts select the one you want to edit and click Edit • You can also Organise Your Contacts Return Home
New Contact • To get a new contact, click New Contact. • This will bring up this window: • Enter the details needed • To upload a photo of the person click Browse • When you finish click Save • If you wish to Edit Back To Address Book Home
Editing Contacts • To edit a contact, click on it and click Edit • This brings up this window • You can now change any details then click Save Back To Address Book Home
Organising Contacts • To organise your contacts into different groups: • Click on the contact you want to put in a different group and drag and drop it into the wanted group. Its that simple!!! • To make a new group: • Click Actions/New Group • Come up in the groups called New Group • To rename a group right click and click Rename • To delete a group right click and click Delete Back To Address Book Home
Distribution Lists • A distribution list sends emails to more than one person. To do so: • Click Compose Email • In TO include as many emails as you want separating them with a comma. Return Home
Folders • You can organise your mail into folders. • This means that they are easier to find and separate. • Click Actions/New Folder • Type in the Name you want • Click OK • Drag and drop the emails you want into that folder Return Home
Diary/Calendar • A diary/calendar helps you organise your needs and tasks. • To make it:
Signatures • A signature is something that is at the bottom of every email you send. To make one: • Click Settings/Signature • Click Edit • Write it • Click Save Return Home
Out of Office Reply/Autoresponder • This will send an automatic email to people for a certain time (e.g. when your on holiday) To set it up: • Click Settings/Autoresponder • Now you can select the Timeand Message Return Home
Out of Office Reply/Autoresponder– Setting Time and Expiry Date • The auto responder has three modes: • Off, Always on and Expiry Date • Always will always reply to emails automatically • Off will not reply. • Expiry Date will reply from the date activated till the date set. • To set it, simply click on it and type in the time. Then click Save Return to Out of Office Reply/Autoresponder Home
Out of Office Reply/Autoresponder–Setting the Message • To set the reply message simply click in the big box and type it. • Then click Save Return to Out of Office Reply/Autoresponder Home
Using email securely • There are 5 tips to make sure your email is safe: 1. Make a strong password. Use things like the Google Good to Know tutorial to help you 2. Never share your password 3. Don’t give your email to people you don’t know or unregistered companies 4. Make separate emails for different purposes Make one for signing up onto websites, one for family ect. You can also use temporary mails like Guerrilla Mail for spam/signing up to things. 5. Don’t download files people send you unless you are 100% sure what they are Even your closest ones might have a virus which auto sends others viruses. Always be sure.
