So…what does a Hall Director do? By Dr. Kendra Whitcher-Skinner Associate Director (their boss)
In general… • Hall Director are the primary staff members responsible for the total student development program within a residence hall, including supervision and advisement of student staff and student hall government, program development and implementation, and administration.
We expect our HDs to have the following skills… • Masters degree in Student Affairs or related field or previous experience as a hall supervisor. • Demonstrated understanding of and strong commitment to the development of students and residence hall communities. • Desire to work as part of a team. • Excellent interpersonal, verbal, and written communication skills. • Previous experience as a judicial officer. • Experience advising student organizations or working with academic support initiatives in residence halls. • Experience and understanding of customer service. • Commitment to working with multicultural populations and awareness of issues affecting women and minorities.
Hall Director vs. Graduate Hall Director • Hall Directors: Full-time staff members who we prefer to have completed their Masters degree. HDs oversee larger buildings then GHDs. • Graduate Hall Directors: Full-time graduate students who oversees a smaller scale residence hall. They are required to complete everything a full-time HD does except for serving as the Hall Director on Duty.
Their goal is to enhance student development. • They do this in the following manner… • Supervisor • Advisor • Administrator • Operations • Facility manager • Student development • Programming • Judicial • Other duties as assigned
Supervisor • Participate in the selection and training of RAs. • Conduct weekly building staff meetings. • Conduct bi-weekly one-on-ones with each RA. • Complete RA evaluations at the end of each semester. • Document staff members for exceptional performance as well as poor performance. • Ensure incident reports are completed by staff in a timely manner and are accurate, factual, and professional. • Establish on-call duty rotation to ensure adequate coverage of the hall every night.
Advisor • Establish the Hall Council at the beginning of each year and serve as the primary advisor. • Monitor the fiscal management of the Hall Council social fee account. • Support the training activities of the Residence Hall Association. • Attend hall and floor meetings/activities.
Administrator • Complete a minimum of 15 posted office hours per week. • Attend departmental staff meetings every week. • Hall Director meetings on the off weeks of the strategic meetings. • Attend bi-weekly one-on-one times with the Associate Director. • Assume duty for all campus residence halls on an equal rotation with fellow Hall Directors.
Operations • Maintain accurate floor charts/rosters, and mailbox markings. • Retain accurate records of hall activities, room inventories, incident documentation, maintenance requests, and other records consistent with policies. • Arrange room changes among residents according to the expectations of the Office of Residence Life. • Submit occupancy reports on a weekly basis for the first 8-weeks and bi-weekly for the remainder of the semester. • Complete warm body counts at the end of the 1st, 3rd, and 8th weeks. • Supervise the check-in and check-out process for the hall.
Facility manager • Make regular hall inspections by completing rounds in your building at least once a week in order to evaluate the environment and spot potential problems. • Submit a Building Walk Through report bi-weekly to the Assistant Director for Facility Operations prior to the scheduled Residential Facilities Team (RFT) meeting. • Process lock re-cores and distribute new keys to residents. • Maintain regular communication and a cooperative relationship with Custodial and Facilities Management personnel.
Student development • Get to know your RAs! • Provide staff development opportunities through individual contact and on-going training by planning a MINIMUM of one staff development activity for each semester. This activity should not involve just having a meal together; make it a real bonding experience. • Recognize staff and residents for the things they do well. • Make a point to be visible in the hall as much as possible. Participate in crisis management and emergency response.
Programming • Serve as a resource to staff and students with regard to needs assessment, planning and implementing programs. • Provide feedback to staff and students regarding programming efforts. • Plan and present developmental programs for staff and/or students. • Maintain accurate records of your RA’s programming efforts as well as money spent. You are responsible for reconciling all receipts in a timely manner.
Judicial • Investigate all reports of violations, damages, thefts, etc. Follow up with students and staff to determine accuracy. • Maintain accurate and updated discipline files and hold any judicial meetings in a timely manner. • Determine appropriate action to take regarding each violation, ensuring student’s due process to reinforce consequences of behavior. Conduct private hearing and/or referrals when appropriate and follow-up in writing. • Provide judicial reports to Associate Director or Office of Student Conduct as directed.
Other duties as assigned… • As Residence Life staff, we are expected to be the first ones in and the last ones out. • We are also considered essential University personnel and are required to be on campus during other campus or weather emergencies to ensure the safety and welfare of students. • Act as a University spokesperson at campus events. • This position is more administrative than other positions, especially the RA position – the HD is responsible for less of the “fun stuff” but that does not mean there should not be fun on the job.
In Conclusion… • Your HD or GHD is a very busy person. • The “Other Duties as Assigned” in their job description often times will bring about other responsibilities. • Please remember that while HDs are required to be available for extended hours they are people too! That means that they have (or should have) a life outside of the job so please keep that in mind!
