Cataloging • The cataloging client is used for creation and update of the BIBliographic, HOLdings and AUThority records • Each library has its own set of tables and verification procedures that determine which tags, indicators and sub-fields are valid. • The standard set of tables is based on USMARC (or UNIMARC, MAB, UKMARC) but can be tailored locally.

  4. Cataloging: Creating a New Record • There are several ways to create a new record: • Create a new record from scratch • Create new record using template • Duplicating record • Import record

  5. Record Validation • There are two levels of validation – Field and Record level • Validation procedures can be defined per format • Every library can have its own validation procedures • Date range

  6. Record Validation: Field Level • Allowed Fields • Sub-fields: allowed sub-fields, mandatory sub-fields, repeatable sub-fields, dependency between sub-fields • ISBN/ISSN check • Date range • Duplicate index terms • New heading terms

  7. Record Validation : Record Level • Mandatory fields, multiple occurrences of fields • Dependency between fields

  8. Validation Messages • There are three levels of validation messages: Message that can be overridden Message that can be overridden and create a record trigger Message that blocks update of the record • The level can be determined per validation check

Cataloging Authorizations – The OWN Field • Every record (BIBliographic, HOLdings, AUThority) can have an OWNer field which can be used to control update of records. • Structure of the field: • OWN $$admlibrary.sublibrary • OWN $$aUSM50.USMA1 • Only users with authorization to catalog for the specified ADM and sublibrary will be able to update the record (note that a user can have authorization for multiple sub-libraries).
