TEMPLATE INSTRUCTIONS • When do I use this template? • In preparation for the Internal Kickoff meeting, when your fully staffed pro bono consultant team is meeting together for the first time. • How should I use this template? • This template is intended to guide the team in discussing the process and aligning their approach. • Remove and customize slides as needed for your particular project. • Send the final agenda to the rest of your team at least 48 hours before the meeting. • Prior to the internal kickoff meeting, the Account Director should send the 826LA Case Study to the team (available on the Taproot intranet resources page). • REMOVE THIS SLIDE BEFORE PRESENTING

  4. MEETING GOALS • Get to know each other and align our thinking and approach • Review the Quickstart Guide and Project Plan, discuss our roles, fill in the Timeline, and review the nonprofit’s grant application

  5. DISCUSSION DISCUSSION POINTS • What are each of our motivations for doing this project? • How will we communicate with one another? When will we meet? What are our team expectations? • What is the nonprofit’s mission and vision? What are their goals for their volunteer program? What would we like clarification about prior to the Kickoff meeting? • What will we and won’t we deliver in this project? What is the Timeline? • When will we hold the Kickoff Meeting?

  6. PROJECT PURPOSE Q. How can HR professionals best assist nonprofit organizations with their volunteer management programs? A. Use our HR expertise! Effectively managing volunteers requires strong human resource management practices. • Remember: Volunteer management is a talent management issue and opportunity. • Professionalize nonprofit’s use of volunteers by following a sequence of tasks: define roles, recruit, select, train, supervise, reward, and evaluate. • Enable nonprofits to use volunteers more strategically to match the nonprofit’s needs with the skills of current and future staff. • Assess volunteers’ motivations to work for a nonprofit and devise ways to incentivize volunteers to ensure successful performance.

CASE STUDY: 826LAStrategic Planning for Volunteer Management • OVERVIEW • 826LA participated in a Service Grant for Strategic Planning Prep, which equipped them with the tools to build an effective strategic plan. • During the project, the pro bono consultant team advised the organization of the need to track and record volunteer involvement as part of its Volunteer Program. RESULTS OF SERVICE GRANT • 826LA added strategies to track and record volunteer involvement, which included efforts to define specific roles for volunteers, conduct more impactful and smaller training sessions, and improve volunteer retention. • Ultimately, 826LA was able to improve its capacity to achieve its mission by addressing the strategic needs of its volunteer program. “WE ARE GRATEFUL THAT TAPROOT WAS ABLE TO CONNECT US WITH SERVICES THAT HELPED PROPEL US FORWARD. ” JOEL ARQUILLOS EXECUTIVE DIRECTOR
