Problem • CFANS Grants Management needed an effective and efficient way to track pre award activity. • Goals: • Eliminate the use of paper • Have a system that can be accessed by many users
Solution • Decision: administration of pre award grant activity to be 100% electronically processed. • Database and website application created in December 2010 • Supervised by Steve Gillard, CFANS Director of Data and Business Intelligence • Major contribution from Tram Le, CFANS Web Programmer and Database Developer
Functions of PTS • As of Spring 2011, PTS has evolved to a reporting tool for decision making. • The data captured can produce: • Grant trend reports • Department Productivity and Financial Analysis
Current Process • The website has improved performance: • Cut down on pre award administration time • Eliminates constant back and forth emails • Allows CFANS to be transparent and accountable on the grant administration process
Recent Feedback • Some may say: • This information exists in EGMS • Is it important to measure pre award information so intensely?
Synopsis • Present system: • Has eliminated use of paper and filing space • Strong record retention and security features • Easy to access website • Multi-user Future plans: • To see the “life of the grant,” we are in the development stage of incorporating PTS with Notice of Grant Awards (NOGA) and Burn Rate
