  1. WEBKIDSS Tips and strategies for more efficient IEPs.

FIRST THINGS FIRST • Check your roster, make sure you have all of your students. • Print out a Procedural Dates Report (POST IT) • Work on a tentative schedule for IEPs and communicate with School Psychologist about any reevaluations that may be coming up. • Put these dates on your calendar. • Open the new IEP one month in advance so that all of the service providers can have access and put their data into the IEP in a timely manner.

  4. FORMS, FORMS, and MORE FORMS • Why use them online? • Fills out the fields that already have data in them saving you time. • Keeps everything in one place. Provides an automatic backup. • How do I do that? • Open Student and click on the function drop box. • Meeting Notification (tan form) • Change and Request Form (blue form) • Fill out the forms online and print them out, these forms will then be saved on the server for later use if necessary.

  5. THE POWER OF PRINT • New Printing options • You can select which IEP you want to print with IEP 1 and IEP 2. • We have multiple print options: • IEP1: Normal IEP • IEP2: Snapshot (GOALS and SERVICES PROVIDED)

  6. FILE, FILE, FILE • Why File? • Filing your documents allows you to keep a copy of any document on the server. • This keeps all of your files in one place and keeps them safe and confidential. • You can retrieve and print out at any time if necessary. • How do I do it? • For IEP and Progress Reports: On the right side of the screen when you first go into edit students, the option to file documents is above the add New IEP record button. • For forms: Under the Enter Forms Data FUNCTION click file document beside the save button.

YOU’VE GOT MAIL • E-Mail: • E-mail is becoming a great avenue of communication between professionals and parents. • WebKIDSS allows teachers to e-mail IEP data and forms from within the program to multiple recipients. • For some parents, this may be their preferred mode of communication. • How do I do that? • Same process as filing a document. For IEP, click E-mail Document on the right side of the opening screen of an IEP. • For forms is is in the menu directly to the side of file documents. • Then add the recipients and any message you would like to attach.

  8. HELP! • HELP MENU • If you have a question, the first thing you should do is check the help menu. The help menu will tell you how to navigate around in the WebKIDDS Database. • Click on Help in the upper right corner at any time in the entry screen. • USER MANUAL • This will help you know what to put in each of the fields. This is a good resource to use when you are not sure what goes where.

  9. STATE STANDARDS • When writing goals it is important to link them to the state standards whenever possible. • To do this, click on the State Standards button at the top of the screen. Navigate through the table of contents by clicking on the subject and grade level you want. • Finally, copy the section of the goal you want and paste it into the State Standard box in the goals section.

  10. PROVIDER’S LIST • At the beginning of the year, it is important to know who all is serving the student. WebKIDSS provides an easy way to check this without having to go into each IEP individually. • On the opening screen when you first login under the print section there is an option titled “Print an Alpha List of Students with Providers”. Click on this. • Then select all IEP’s for the current year and hit the Print List button. • This will give you a list of students on your caseload and all of the providers that serve them. When an IEP comes around, make sure to contact all of the providers on this list to schedule the meeting!

  11. ERROR CHECKS • Check for Errors • The Error check feature is one that you should use every single time you write an IEP. This will tell you if you left anything out, or if you missed a check box. • How do I check for errors? • In the upper right hand corner of the opening IEP screen, there is a button that says “General Errors”. Click on this button and then hit OK to continue. • It will show you your errors, go back and fix them and then check again. When finished there should not be any errors.

  12. STICKY NOTES • This is a great feature that is not used very often. • In the upper right hand corner of the Edit Students window of WebKIDSS, click on the notes button. • Enter in your message and hit OK. Then it will show a little sticky note beside the notes button that all of the providers can see.

  13. WRAP-UP • WebKIDSS is a really good program that can make the IEP process much simpler if you know what you are doing. • Take the time to explore the program and its options, if you find something that you feel is valuable, let me know and I will spread the word to everyone else. • WebKIDSS is very customizable, we would love to hear your suggestions on how to improve the program.
