  5. Pine Wood Derby Procedures Setup 1) Clean of race Area 2) Set up tracks - Set up towels at end of track 3) Set up five tables at start of track. One for tigers, wolf, bear, webelo and non-scout. Place PVC poles or other material the length of the tables to keep cars from rolling off. 4) Set up Qualification and check in tables. Cover tables with paper to keep graphite from getting on tables. Table should be set up first with hot glue gun, next graphite, next scale with extra lead, next sign in sheet, where names are written down and numbers put on cars. 5) Last table should have trophies. Check in 1) It takes at least four people to run check in. First person checks to see if wheels can turn freely and nails glued down. If there is a problem, notify the boy and parent and offer them the options of gluing the nails down and putting graphite on the wheels. - Second person weighs the cars. If too light place extra weights on scale until 5 oz. is achieved. It is easier to cut down the spare weights to desired size. With correct amount of weight, use masking tape to tape in the drivers compartment.. The weights will be removed after the race and before the best looking judging. If a car is too heavy, notify the boy or parent and ask them to reduce weight. Even if the parent had used a more accurate scale, it does not matter. All cars are being qualified on the same scale. Third person writes down the boys name and places the assigned number on the front of the car. - Fourth person takes the car and places it on the proper table, notifying the boy and parent that they may not touch their car until the event is over.

  6. Running Race Personnel One person to start race, One person to check in and out the cars One person to announce the car to race and which car wins. Two webelo scout to carry the cars to the starter Two webelo scouts to pick up the cars and carry them back to the proper table. - Assign one leader to manage the cars to be races. Assign two webelo scouts to pick up the cars and carry them over to the person that is starting the race. - Assign three parents to be the judges. Place three chairs at the finishing line and clear the area around them. Assign two other webelo scouts to take the winning cars after the race that the judges hand them. Assign one of the boys always to carry the winning cars. This reduces the confusion of which is the winning car when the boys gets back to the table.. The two webelo scout will carry the cars up to the judge that is writing down the winning car numbers. If there is a tie the cars are run again, this time switch the cars on the tracks. If a car does not have a car to race against them let it run by itself. Best looking - After the group has finished. ie Tigers. Carry the tiger car table off to the side and replace it with the wolf table. - Ask all the tiger scouts to come over to an assigned area. - Give at least four boys at a time a piece of paper with a pencil and ask them to go over to the tiger car table and write down their top four choices. - After all the boys have finished, assign two leaders as judges to go and tally the winners. Make sure bystanders are not looking over the judges shoulder when they are adding up the numbers. Trophies You may want to hand out the trophies after each event. This gets impatient parents out of the area.
