  1. Hop Farmers Distribution Project 2010 IT Strategy for HOP Produce Distribution Services

IT Based Distribution Model • This Distribution plan will allow the farmers to deliver their produce harvest, pre-ordered, in bulk in order to accommodate the institutions and individuals (Buyers’ Club) who will purchase the produce en masse to help feed themselves and the residents in our communities. • Institutions as well as individuals will use the e-Commerce method to place orders to HOP’s distribution office. That is, buyers will be strongly encouraged to place produce orders over the web. Buyers who can not afford to participate in this fashion can submit by fax or mail. • Marketing strategies will need to be put in place to encourage local institutions and stores to engage our people to participate in this produce harvest drive.

Marketing Scheme will utilize the IT-based Distribution Delivery Method • Pricing scheme for HOP must be established with its farm partners. • Pursue institutions and stores willing to sell HOP’s produce. Make our people aware that we are providing fresh food to them and where they can go to purchase it. • Pricing will enable participating institutions and individuals to engage with HOP’s distribution delivery service. • Email-based ordering will be the projected core method of placing orders from HOP’s inventory system.

Distrubition Process (Order & Delivery) • HOP’s goal is to provide a web-based order/entry and produce delivery system accessible by the web. • HOP will deliver this solution in two stages: • Stage I - Email based ordering with batch updates to inventory database. This stage I delivery process is expected to be fully operation in 60 days. - Farmers will submit their crop availability to HOP via email or fax service (utilize UMES for MD SARE participating farmers). Training for the farmers will be planned for this procedure. • Stage II *– Web based orders will update HOP’s database in real-time. - Farmers will be trained to submit their available crops for distribution to HOP’s web-based inventory system. * Stage II will not be covered in this presentation.

  5. Order Entry Method • HOP’s produce page will display available produce from its participating farm partners with available pricing*. • Orders will be placed from HOP’s website (“Contact Us” page). • HOP’s Produce Market page will instruct the buyer how to place an order from the website. Order response will be 24 hours. • Once the buyer has submitted his/her order HOP will be notified via email** that an new order has been placed. • New orders will be entered into a spreadsheet, then batch submitted to HOP’s distribution inventory database. • * Marketing conditions will cause pricing to fluctuate periodically and the produce web-page will updated with new pricing accordingly. • ** A new email will be created orders@helpourselvesproject.org to accommodate the ordering service for HOP’s distribution processing.

  6. Distribution Inventory System • HOP’s distribution inventory system is an Open Source database management system that will be built to handle small to large scale distribution operations. • A server has been deployed to house the inventory database. • This server will be available to the internet to accept batch transactions for order submissions and updates to the inventory system. • Relevant information will be kept on customers as well as the participating farms.

  7. User Training • This training will facilitate the use of HOP’s “Stage I” method discussed in a previous slide. Requirements for Stage I is below. • Will need to find out the needs of the participating farmers who will eventually submit their available produce to update HOP’s database through the website. • Spreadsheet software (can be Open Source to save license fees, e.g., Open Office) will be necessary to provide batch updates to the inventory system. • Internet access and an email account will also be necessary in order to notify HOP of produce availability through email. • A questionnare will be sent out to each participating farmer to determine their readiness to interface with HOP’s distribution system. HOP needs to know what farmers need to particitpate in HOP’s eCommerce system.
