  7. Registrar Entered In order to accommodate paper applications, this area is used by the Registrar to enter the applications into the system, then proceed as if they were entered online. This method was the preferred method since it eliminated what would sometimes be complicated situations such as the home church not being in the database or the sponsor not being part of our community, thus, not being in the database either. Even though a new method has been introduced (discussed in the next topic), this method needed to remain.   9. Registrar Entered Applicant Info Registrar would use this entry form to enter paper applications that he/she received. This form is used both to add and update information. In the online version (our next topic) the sponsor would fill out the application then, after registrar approval, the process would pick up here as if the registrar entered the application. In Registrar processing, the information is either keyed in or picked from the filter at the top of the page (which was most often the case). As with Applicant information, this information would also be supplied in the online version and could be updated here after the fact. Registrar Entered Walk Information At this point in the process, the first and second walk choices would be filled in by the online version but the registrar would take over for the remainder of the Application / Registration process. Clicking the “Assign to a Walk” button would expand a list of available walks, not shown here, that the registrar could click to place the person on that walk. Online Application (cont) • Application Continues for several more screen shots • If Walk is being made by a couple, the system will tie the applications together and assign them to Adjacent Walks (more on this later) • When completed and submitted, the application is fed into a staging area for the Registrar’s review before approving the application– This keeps the database from becoming “dirty” from intentional or unintentional misfires.   18. Sponsor Entered Summary This is one very wide datagrid (would span 3 more views similar to below. It is meant as an overview of the documents to give a feel for what is waiting to be approved. The Registrar would scroll to see all the fields, The grid is sortable by name, date applied and requested walks to aid in finding particular applications. For further analysis, the Registrar would click the magnifying glass and the application would be loaded up in the same online form the Sponsor used to create the application. Clicking the check mark would put the application into “Approved” status.   20. Sponsor Entered Analysis Support There are conditions that need to be checked on all applications that can be tedious for the Registrar but easily defined for IMS to make the checks for you. IMS will scan the applications for the following conditions. As this project matures and we start receiving feedback, this process will become more robust. • Are all required fields completed? • Does Sponsor and Pastor exist in database? • If not, do we enter them into the database (as Sponsor or Pastor only)? • Does their data match the database? • If not, do we update the database with the new information? • If spouses are adjacent, are the two applications tied together? • If spouses are adjacent, have they selected adjacent walk pairs as their choices? • If a spouse has already attended, is the spouse name on the application found in the database at the same address? • If not, do we contact the sponsor for spouse information so we can add him/her to the database?
