The current or default view is the users own log book or their “To Do” and “Task List”. All entries are sorted by date with the oldest at the top. By using the view options at the bottom left of the logbook each user can change their view. The view can be changed to a different users logbook for instance . If desired a user can use the selection of “ALL” allowing them to see all users open items for the company they are assigned to. Other view options enable a user to quickly see notes by Physician, Log Group, Job Function, or employee. [Back to Main]
Alarms and priority levels can be set for each not put into NoteShare. Visual identifiers are displayed on the screen as well on associated reports. [Back to Main] NoteShare has 3 different areas in which to place notes. Activities, Requests, and Personal. A visual count of how many open or incomplete items are in each area is displayed to the right of each label. Clicking on each label opens each container. While there are not a lot of hard and fast rules here personal notes are non patient related. They cannot be attached to a patient or physician. Many office choose to put all notes under activities only while others use activities for to do’s and requests for patient requests. Notice the notes in bold type? These notes have been flagged by the person who entered it that there is a return call expected back. These are bold on screen as well as reports. [Back to Main]
Communication notes and FYI’s are pieces of communication that offices use to send to Physicians and put into a patients chart. These are sometimes referred to as progress notes. They are not orders and do not require a signature or to be returned. Each note can have multiple of either. Entries with Comm notes or FYI’s have a visual number letting the user know how many there are. These documents are configurable as to the actual name which each agency can change as well as add their own company logo. There are two default styles to choose from. For a one time charge we will add a specific form matching what the agency is currently using. The CFM and PST column is for flagging the process of each note. When the function of the note has been started it is “Confirmed”. This indicated that any associated process of that activity has been started. When it has been completed it is “Posted”. That finishes the task in the system . When a note is both confirmed and posted it disappears from the normal view. [Back to Main]
Adding a note is extremely simple. From the LogBook screen click the ”Add Note” button or press the “insert” key on the keyboard. This is the add note screen. Who entered the note as well as the time are not editable. All other fields are. The assumption is that the note will be entered for your self. However many times the note is being entered by someone for someone else. In the patient field simply start typing the patients name and they are displayed for you . Clauses are even available for use. [Back to Main]
Notes can be deleted. However NoteShare will only allow the person who owns the note to delete it. All others can add to or append new information to the note creating a thread with time and date stamps. You can see the added threads in some notes below. If a noe is deleted a reason must be added. The deletion removes the note form sight however it is only flagged as such. There is an audit report that can be run showing how any note came to be in it’s current state as well as who and when a note was deleted. [Back to Main] Original entry in the Call Date column and the added threads in the body of the note. [Back to Main]
The “View Detail” button performs the same function as double clicking on a note. It simply opens the detail of any note where the owner can edit it or any other user can append new information to it. The buttons below also manipulate the note. The print detail allows for a miniature audit of this note alone. From this screen or the main screen users can add or review Comm notes or FYI’s. [Back to Main]
