Background • Davenport University Institutional Research has made available a great deal of data resources over the last two years for the internal Davenport community. • At the DU IR website, all DU employees can access detailed information regarding student demographics, survey results, enrollment, courses and faculty. • However, many staff members are not aware of this resource and few use the information to make informed decisions.
Solution • In order to better communicate the data resources that are available, an open house was held with a circus theme. • The event was titled “DataFest” and was open to all staff and faculty.
Overview of Concept • DataFestfeatured hands-on informational booths, games, prizes, and food. • Booths were set up around data types that people might find of interest. • Davenport Institutional Research team members dressed in costume and staffed booths around their different specialty areas.
Fun AND Educational • Learning Objectives: • Increase understanding of how to access data. • Familiarize people with the resources available to them: • Survey Research • Data Book • Balanced Scorecard • BbA Data Warehouse and Data Cookbook • Market Research • Familiarize Davenport staff with the IR team members and their functions.
Data Fest Details Communication Content Making it fun Logistics
DataFest Booths • In order to make the event fun, carnival style games were set up at each booth. Staff members would play a game, win a small prize and then hear about data sources related to a particular area. • Booth Example 1: • Spinning wheel labeled with balanced scorecard measures • Employee would spin the wheel and then try to name a metric that fell under their category.
Booth Example 2 and 3 • Mini golf – Answer questions related to student demos (gender, age, and ethnicity) to earn golf balls. More golf balls, more changes to win. • Bean Bag Toss- Questions related to size of campus, new enrollment, retention to earn bean bags.
Booth Example 4 • Do you know your survey research quiz • 10 questions with multiple choice answers • Booth also gave handouts providing summaries of major surveys.
Booth Example 5 • We invited IT to come and talk about Google Analytics
Encouraging People to Circulate • In order to make sure people visited many booths, each person was given a ticket to the Carnival which they carried around and got stamped after visiting a booth. How many stamps they received determined what type of prize they got at the end of the day. DataFest
Formal Presentation • The day included 15 minute presentations on the following topics • Blackboard Analytics (BbA) -- new Data Warehouse: Technology that transforms data into actionable information • Unlock the Language of D.U. Data • Market Research: The World We Live In • Data Book: An 102 page Summary • DU’s Balanced Scorecards
Logistics Stations • Prize table – mostly donated prizes and $40 purchased • Registration table – Staffed by Student Worker • 8 booths Supplies • Set-up for presentations (screen for presentation and 20 chairs) • 4 laptops from IT; 3 laptops and projectors reserved from library • Power cords • Signs for booths • Decorations ($50) Food will be served ($200) • Popcorn, lemonade • Hotdogs, cookies • chips, salsa and cheese Total Budget= $290 Planning = 3 months in advance Execution = 6 weeks in advance

Results • 100 people attended • Improved perception of customer service and value of the IR department. • Unknown if we actually increased usage except….
Post Event Feedback ]What did you learn? • Better understanding of the different areas of research available to us. • Data is easily available. • Did not know that there was a data book available and did not realize how the data cookbook was utilized. • Great to interact with staff in a fun environment, ability to ask questions. Learned about the new data cookbook, neat tool. Self-paced tutorials - learned about pivot tables. Thanks for taking the time to put this together! • How to run reports that I can do myself and who I need to talk to to make sense of the data I have. • I actually learned a lot and loved the concept. It was great to see everyone having so much fun and participating. Who ever thought up this event is a genius!!!!
What next? • We have multiple campuses and we were asked to bring the event “on the road”. • Instead, we created videos showing the resources that were available. • Next, we wanted to deepen learning.
