Current Status • Went Live April 2007 – Wave 7 • Acute Trust 4,500 staff circa • Achieved RA5 Status February 2008 – First Acute Trust in the North West
Why use ESR? The Question should be Why wouldn’t you use ESR?
Components Being Used • Recruitment – NHS Jobs Interface • Establishments – Vacancy Control • Manager Self Service – Roll out completed September 2009 • Reporting – Used for Trust Board Reports and Dashboard Reporting for Wards. This feeds into Quality Ward Round Information • OLM – Training • Occupational Health Interface
Establishments • All Establishments held in ESR against Positions • This is used for Vacancy Control • This is an important element of our Recruitment process • Plus Budget Monitoring • Enhanced joint working with Finance colleagues
Manager Self Service • We have rolled out this across the whole organisation all mangers have access to their employee’s details on ESR. • 650 + Managers, Supervisors & Administrators have access to MSS • These staff have also been given Employee Self Service • Access to Live Data • Managers Enthusiastic about the system
Self Service - Benefits • Instant Access to Sickness Absence Information – Including Reasons • Managers can run Standard Reports • Staff Lists • Mandatory Training Compliance • Appraisals Completed etc • Annual Leave Recording in accordance with IFRS
Reporting • Information used from ESR to produce Reports for Trust Board and HR Council • Sickness Absence Monitoring and Trigger Reports have been developed after extracting the data from ESR • In Sickness Absence Crisis we can report instantly how may staff off sick and reason i.e. flu pandemic etc • Developed a Dashboard Reporting Function with information contained in ESR.
Dashboard Reporting – ESR Info • This contains: • Current Establishment • Maternity Leave • Temporary Posts • Vacancies – All the above by Band
Dash Board Reporting Con’t • Appraisals • Mandatory Training • Sickness • Total Missing WTE • Total Establishment WTE% • % Registered • WTE Available • Then previous 2 months so comparison can be made
Other Information Included • Complaints • Suspensions/Supervised Practice • Tissue Viability e.g. Apr – Dec then Jan Then comparison can be made to previous months • ADT • Infection Control Audits • IV Access Indicator • Patient Survey • Staff Survey • Hospital Acquired CDT • Hospital Acquired MRSA • RAG analysis for each Ward is produced highlighting potential critical areas taking into account all the above data fields
OLM- Benefits • OLM implemented across the whole organisation • CQC whole evidence base is from ESR & OLM • Course Catalogue set up within OLM - Managers Book Staff on via Self Service • Statutory and Mandatory Competency’s Recorded – List is growing • Helped the Trust to achieve NHSLA2 • Cost Savings achieved – Reduced L&D Admin from 5 Band 2/3 to 1 Band 3 • L&D Admin Paperless Using OLM Notification Tool
ESR - It’s the Future! Developing ESR
Plans for Future Use • Move towards a paperless system for all changes • Move towards Payroll Approvals Not Required • Trust is Lead Employer for Medics Approx 2,400. Move host Trusts to Self Service for Medical Staff – Absence etc • This will involve working with 37 other host trusts across the Mersey Deanery • Explore possibility of Employee Self Service for all Medics.
Summary • Need to make full use of all functionality on ESR – It’s there why not use it? • Positive Experience for the Trust • Made life easier – Access to data, streamlined processes • Fits in with QIPP Agenda
