How to generate the Academic Accommodation Letter You need to generate the Academic Accommodation Letter for a course before you can book an accommodated exam for that course. Ensure you provide a copy to your instructor(s). * 1. Login to the system and follow the instructions 2. Decide which approved accommodations to include on the letter for each course 3. Submit the letter to each instructor and/or faculty representative * Note: If you just had your intake appointment, your Academic Letter of Accommodation will not appear until the next day --- *If you are in the Faculty of Medicine, Law or Pharmacy, provide your letter to your Faculty representative instead of your instructor: Law: Kaila Mikkelsen (mikkelsen@allard.ubc.ca) Medicine: Janette McMillan (janette.mcmillan@ubc.ca) Pharmacy: Jennifer Chatterton (jennifer.chatterton@ubc.ca)
Step 1: log in to the system Go to the Centre for Accessibility website and log-in using your CWL: students.ubc.ca/accessibility
Step 2 When you log-in to the system you will see 3 icons: Request Accommodation Letter: allows you to generate your academic letter of accommodation(s). Click here to proceed Schedule a test or exam: to book an exam after you’ve generated your letter(s) Upcoming Tests or Exams: to see the exams you have already booked
Step 3 Read the instructions on this page and then click on the ‘Accommodations button’ to continue.
Step 4 Click the request button to generate the letter
Step 5 Option 1: you can choose to download one letter per course with specified accommodations Option 2: you can generate all letters at once, with all accommodations listed, by selecting ‘check all’
Step 6 If your accommodations are listed correctly: click the radial button, click the ‘I agree’ box, and then click submit to go to the next page If your accommodations are not listed correctly:Stop now. Contact the Centre to discuss the issue further
Step 7 You can now access the .pdf version of your letter by clicking on ‘Get Letter.’ Ensure you provide a copy of the letter to your instructor or Faculty representative. The system does not do this for you
What do the various statuses mean? Waiting for student to request – press the request button to generate the letter Sent – the letter has been generated. The next step is to forward it to your instructor or Faculty representative Confirmed – your instructor has viewed your letter in the Instructor Portal (which is their version of the system)
Final step When you click on ‘Generate Letter’ it should open the .pdf version that you can download and send to your instructor. Below is a sample.
