myBucknell From Portal, What’s That? To Have you myBucknelled Today? To … just a click away from campus Brian Hoyt Director of Technology Integration Information Services and Resources Bucknell University
Some Background • All Banner School (except Advancement) since ’97 • Spring 2003 Banner Advancement selected with July 2004 go live date • Harris Online Community Contract expiring November 2004 • Selected Luminis as a replacement for that community
Some More Background • Fall of 2003 launched a major effort to remake the Bucknell.edu web site in conjunction with new admissions materials • Campus Web Leadership Team makes a strategic decision to make the BU.edu web site focused on external audiences • Therefore, need tool for internal audiences: myBucknell Students, Faculty and Staff was born
Project Timeline • February ’04 –Project Kick off • August 18th 12:05 PM –Went live with Student, Faculty and Staff views • November ’04 –Key Alumni and Parents given sneak preview access • Mid-January ’05 –Formal launch for Alumni and Parents
The Dot, Dot, Dot Period • Sell, Sell, Sell, Sell • Educate, Educate, Educate • Several SCT functional consultant visits • Regroup from a staffing standpoint • Learn, Learn, Learn • Educate, Educate, Educate • Sell, Sell, Sell, Sell
Our Strategy • Provide Functional Channels that • Facilitate access into the public web site • Aggregate content spread across our web site • Functional then Pretty • Lay out all channels with all 5 views in mind • Do what we had to do
Our Reality • Thank goodness for our CMS system • Most of our channels are just links today • Applications will have to wait till we can refill developer position • Re-skinned several existing apps for initial presentation in the portal • Channel Making Parties
Some of the Head Scratching Stuff • Luminis Functional Consultants approach to our implementation • Creating Users • You are a student for life in SCT’s mind • In our Banner implementation if you have ever taught a course you are part of the available faculty pool • Faculty reaction • The portal • Single sign on • Browsers • Creating a Channel List Channel • The number of times the words Campus Pipeline appear in the application • The number of “key” but undocumented configuration settings we have encountered
The “Five View” Challenge • What to do with the All Users view • Accounts for 45,000 plus alums and 8,000 parents • Getting interdepartmental ownership of the Alumni and Parent views • Mail, Blackboard, Calendar are not being provided to external constituents at this point • External authentication • Support for external Users • Unsponsored groups that involve external constituents • Tabs, Tabs and more Tabs
Lessons Learned • People are beginning to get it • Don’t underestimate the need to coach them into a different service/communication mindset • The Luminis Technical Team is great • Set clear expectations for the Functional Team • The policy issues are much bigger than the technical issues (both inside and outside of IT) • The documentation leaves much to be desired • The lack of granular access control is a pain
Unresolved Questions • Governance • Who will be the driver on a long term basis • Ongoing staff requirements • Where Luminis support comes from within IT
What is next • Beautification • Automatically Populated Groups • Classes • Majors • Alumni Clubs • More Single Sign on Apps • Custom Java Channels • Portal only CMS templates • Further role refinements
