  2. Library Service – Master Data The Business Optix Library Service supports “Master Data”. This allows you to keep a single central list of all: • Deliverables produced by – or received by – the business • Roles (types of user) involved in the operation of the business • Locations where those operations are performed • Systems used in support of those operations Support for other types of Master Data is simple to configure: this document only covers these four types, which are provided ‘out of the box’ for all Library Service customers.

  3. Using Master Data When you use a Library, Master Data is automatically available wherever you would otherwise (without a Library) select a resource. For example, in a Process: • the role ‘Accountable’ for, and the Locations represented by, a lane • the Responsible, Consulted and Informed roles for an activity • the Systems used, and the Location, for an activity All these allow you to select from the relevant Master Data list. Wherever Master Data is available, you can still define and use ‘local’ resources instead, in case you require an item that has not yet been added to Master Data.

  4. Editing Master Data Master Data is always held in the same (Shared) ‘Master data’ folder in the Library. To edit any Master Data list, simply open it into WorkPad, as with any other model. Master Data can only be edited in Text View. You can nest Master Data items to any level – for instance, cities within countries within continents. You can add a Description, and Links, to each entry. As well as appearing in output documents, the Description is shown as a hint to users when selecting the item in other models.

  5. Standard Master Data Configuration The following files are required to support the four standard types of Master Data: • A Master Data.xbs stencil, and associated Master Data.xbp template to allow Master Data models to be created and edited • For each stencil (e.g. Process) that requires it, a _Master Data.xbs stencil extension to make the Master Data appear in models • For each of the four standard types of Master Data, a matching model in the Shared/Master Data folder Your library should be automatically configured with these files.

  6. Adding new Master Data types To add a new type of Master Data: • Create the required (or an empty) Master Data model (e.g. Categories.xbp) and store it in Shared/Master Data • Create a custom extension by taking a copy of the standard _Master Data.xbs extension • Replace the existing include elements with equivalents for your new Master Data • Specify or modify the properties which will use the new Master Data • Save your custom extension in the same folder as the standard extension, but without the leading _ (which indicates a standard, rather than custom, extension)
