December 2014 & March 2015 WCAIS Releases Information for Attorneys and Law Firm Users regarding the Workers’ Compensation Automation and Integration System (WCAIS) April 2015
Recent Enhancements The following enhancements were implemented as part of the December 2014 release:
Proof of Service • Proof of Service documents will now generate for petitions and answers which are filed by uploading a completed form. The applicable documents are: • Petition for Commutation (LIBC-34) • Fatal Claim Petition (LIBC-363) • Petition for Joinder (LIBC-376) • Occupational Disease Claim Petition (LIBC-396) • Employee Challenge Petition (LIBC-751) • Claim Petition for Additional Compensation from the Subsequent Injury Fund (LIBC-375) • Claim Petition for Benefits from UEGF (LIBC-550) • Uploaded Completed Answer form.
Proof of Service Proof of Service documents can be found on the Correspondence widget on the Dashboard and on the new WCOA Dashboard Petitions/Answers widget.
File a Petition Quick Link The link to “File a WCOA Petition” can be found in the Quick Links widget on the dashboard.
New WCOA Dashboard The link to the new “WCOA Dashboard” can be found in the Quick Links widget on the dashboard.
New WCOA Dashboard • The new WCOA Dashboard has four widgets. • Most of the columns in each widget are sortable by clicking the column header.
New WCOA Dashboard – Upcoming Briefs Widget The “Upcoming Briefs” widget displays information about upcoming briefs in your associated matters. The columns include dispute number, brief due date, claimant name, and employer name and all of the columns are sortable.
New WCOA Dashboard – Petitions/Answers Widget The “WCOA Petitions/Answers” widget displays information about petitions and answers submitted on your associated matters. The columns include matter number, petition number, petition type, filed date, filed by, claimant name, employer name, and status. All columns except matter number are sortable. There are two status types: pending and processed.
New WCOA Dashboard – WCOA Requests Widget The “WCOA Requests” widget displays information about requests submitted on your associated matters. The columns include dispute number, request type, submitted date, filed by, claimant name, employer name, last updated date, and status. All columns are sortable. There are three status types: approved, denied and pending.
New WCOA Dashboard – Judge Communication Widget The “Judge Communication” widget displays letters sent from the judge’s office. The columns include dispute number, judge name, andthe beginning verbiage of the letter. All of the columns are sortable.
Remand Correspondence • All correspondence on Remanded disputes will now display the word “Remand” to distinguish it from a regular dispute.
WCAB Events The “Upcoming Events” widget on the regular dashboard displays any WCAB appeal or petition hearing scheduled. The columns include date, matter number, event type, claimant name and defendant name. All columns are sortable.

Law Firm user Role • Law firm administrators and attorneys have the ability to grant matter access to law firm users. • Law firm users will then be able to search for those matters and they will also be able to see their matters from the “My Matters” screen. • Law firm users will only have read-only access to their matters. • The law firm user role will be expanded in future releases to allow attorneys to designate law firm users who may perform work on their behalf in WCAIS.
Associating Attorneys to Law Firms • Attorneys have the ability to associate themselves to a law firm. • In order for an attorney to associate him/herself with a law firm, the law firm administrator must provide that attorney with the law firm PIN. • Law firm administrators have access to an attorney’s matters if the attorney is associated with that law firm. • Law firm administrators have the ability to share access to matters belonging to one attorney at their firm with another attorney at their firm. • We will be expanding the law firm admin role in future releases to allow law firm admins to enter the appearance of an attorney on multiple matters simultaneously.
Disassociating Attorneys from Law Firms • Both attorneysand law firm admins can disassociate an attorney from a firm. • When an attorney changes their association to a new law firm, the system will automatically disassociate them from their former law firm. • When an attorney is disassociated from a law firm, the law firm admin will have access to that attorney’s matters for 30 days.
Associate Attorney to Law Firm From the dashboard select “Profile, Change Profile.” Click the link for “Update Association.” Enter the new firm’s PIN and click “Submit and Continue.” A confirmation screen will appear. Select “Yes” to confirm. 1. 2. 3.

Manage Matters as a Law Firm Administrator From the dashboard select “Admin, View Attorneys.” Click the link for “View Matter List.” NOTE: On this screen the law firm administrator is also able to disassociate the attorney from the law firm. 1. 2.
