Planning ahead of time… • Why? • The end of the year is busy but the beginning of the year can be mind boggling! • Getting an outline before going on summer break is great for those who like to plan and create over the summer. • It gives your chapter a focus for the next year and helps set those big events into motion! • Set a vision!
Spring Planning Meeting • How can we prepare for the meeting? • Have each officer give a list of events they’d like to host to the Programming Officer (provide a few tentative dates). • Have the upcoming school calendar along with holidays handy for easy reference. • The Programming Officer should generate a draft calendar and print a copy for each person who will attend the meeting. • Encourage participants to bring snacks and dress comfy – the meeting will take awhile!
Spring Planning Meeting • How can we prepare for the meeting? • Send your chapter a survey prior to the meeting: • Ask them what types of programming they would like to see in the upcoming year • Have them evaluate past programming events • Remember to follow-up in the fall about how you have taken survey results into account while planning.
Spring Planning Meeting • Who should attend the Spring Planning Meeting? • Elected Officers • Appointed Officers • Sponsors & Associate Sponsors
Spring Planning Meeting • How should the meeting be run? • The President and the Sponsor should prepare a Schedule and an Agenda for the meeting; print a copy for each person in attendance. • The Programming Officer should hand out the draft calendar to each person in attendance. • Schedule breaks for your meeting & let your officers know when they will be! • Topics for when you need a ‘pick-me-up’: • Joys & Concerns • Create a List of Goals for the next calendar year • Prayer and Devotion
Spring Planning Meeting • Working through the Draft Calendar… • Go through the Draft Calendar month by month • Have each officer speak to the events they would like to plan “A good plan is like a road map: it shows the final destination and usually the best way to get there.” -H. Stanley Judd
