Getting Started My invited renewal premium on my manual policy is cheaper then the EDI new Business premium, can I match the lower premium? We are happy for you to override the EDI generated premium with the manually invited renewal premium if they are on a like for like basis. To match the invited renewal premium, please override the EDI premium with the invited renewal premium using the unique override code ‘AgreeRnl’ - there is no need to ring us. e.g. invited renewal premium is £400, EDI quote is £450, you override the EDI premium to £400 and use the override code 'AgreeRnl'. If you are an OpenGi user and require a verification code, please contact our E-trading team and one will be provided for you. Driver Eligibility What are the age limits on any Driver Policies? All drivers must be over 25 unless named specifically on the quote. The upper age limit is 74 years of age. All drivers aged over 74 are unacceptable. What are the age limits on EDI? All drivers must be 19 or over as 17 and 18 year old drivers are unacceptable on EDI. The upper age limit is 74 years of age. All drivers aged over 74 are unacceptable. I have a driver with an international/ provisional driving license, can I place this on EDI? No, international/ provisional licenses are unacceptable. The Policyholder or a driver has been banned from driving in the past 5 years, is this eligible? No, this business is declined. Covers What’s not covered via EDI? EDI cannot process cover for: - Breakdown - Multiple Vehicles – see 'How do I transact Multi-Vehicle policies via EDI?' • Trailers Is Trailer cover applicable on EDI policies? No, however, our standard Policy cover includes the Insured's legal liability to third parties whilst the insured vehicle is being used to tow a trailer. Liabilities arising out of a trailer being used as a tool are excluded, except as required by any relevant road traffic legislation. Is “Driving Other Cars” extension applicable on EDI policies? MTA/ Cancellations I am processing a policy amendment mid-term but the system generated change in premium seems incorrect. Can I go ahead and process? Generally when you process any amendment on your system it should calculate any change in premium correctly. If the system generated change in premium seems incorrect please call us before processing so we can confirm okay to go ahead. I am cancelling the policy however the system generated return premium seems incorrect. Can I go ahead and process? Generally when you process a cancellation on your system it should calculate a correct pro-rata return premium. MTA/ Cancellations Do we allow Return Premiums when cancelling a Policy mid term if there has been a claim? Yes, When you process the cancellation on your system it will produce a pro-rata return premium. We have changed our EDI Software House system and can no longer process any mid-term policy amendments. Do we need to inform you? Yes, we will need to be provided with details of which SWH you are changing from and to and also the date the system was changed. Any existing policies will be treated as manual until the next renewal so you must call us for any future changes to be teleprocessed. Vehicle Eligibility Do we accept Tippers at standard terms? Yes, so long as the total vehicle value includes this. Do we accept refrigerated vehicles at standard terms? Yes, so long as the total vehicle value includes this. Policyholder's vehicle is fitted with alloy wheels is this acceptable at normal terms? Yes, as long as this has been included in the vehicle value. Policyholder's Van has been modified to have an extra window fitted, is this OK? Vehicle Eligibility Policyholder's vehicle has been modified to have extra seats added, is this OK? Yes, as long as you retain proof that they have been professionally fitted & the total number of seats (including the drivers) does not exceed 6. Policyholder’s vehicle is also used, as a Tool, e.g. Water Tank/Cherry Picker, Is this ok on EDI? Yes. However, the Statement Of Fact excludes cover whilst it is being used as a tool. How do I insure a Van up to the new 7.5 tonne weight limit? - Open GI and CDL RSA Van - Scheme Code RA, Policy type GV Vehicles above 3.5 tonnes can be accessed via the OpenGI and CDL 'YY' vehicle codes (also known as 'Dump' Codes) and be included in the standard RSA Van product. Vehicle Eligibility - SSP Users How do I insure a Van up to the new 7.5 tonne weight limit? - SSP Users RSA Van FC - Product Code RSC0 Vehicles above 3.5 tonnes can be accessed by entering the vehicle description as free format text, via the appropriate ABI Dump code from the list below, and completing the Gross vehicle weight field on the CVI screen. The ABI Dump Codes can be accessed by entering 'Ins' in the manufacturer field and pressing enter, this will then show 'Insurance Groups'. By moving to the 'Model' field you can use the drop down list to choose from; ABI DUMP CODE CV GROUP 021 = Vans over 3.5 tonnes to 4.5 tonnes ABI DUMP CODE CV GROUP 022 = Vans over 4.5 tonnes to 5.5 tonnes ABI DUMP CODE CV GROUP 023 = Vans over 5.5 tonnes to 6.5 tonnes ABI DUMP CODE CV GROUP 024 = Vans over 6.5 tonnes to 7.5 tonnes once selected you can then enter the true vehicle details as free format text. Accounts Direct debit surcharge for RSA Business Car, RSA Truck and RSA Van From 1st August 2011, RSA will introduce a direct debit surcharge for RSA Business Car, RSA Truck and RSA Van. This will be a fixed rate of 8%, which equates to an APR of 18.59% I have set up a new RSA EDI policy to replace an existing manual policy, which was paid on your Direct Debit scheme. Can you transfer the DD details over to the new policy? Yes, It is important that you advise us if you are replacing an existing policy that it currently on our direct debit scheme. Simply advise us by email to etrading.team@uk.rsagroup.com and we will then ensure the existing policy is cancelled and all debits are ceased and if required transfer over the DD details to the new policy. What will happen to the direct debits once my policy lapses or is cancelled? Once the policy has expired or is cancelled the direct debits will automatically stop and the client will receive any return premium due. Temporary Vehicles Can I add a temporary additional vehicle to this policy? Yes, this will generally be acceptable i.e. the clients main vehicle going in for repair/servicing and the garage provide a courtesy vehicle. Please note the maximum days of temporary cover cannot exceed 60 days and a Car cannot replace a Van and vice versa. Unless you are using the OpenGi SWH all other SWH system users will need to contact us for a quote. We would need to know the following information: • Who is the owner of the vehicle? • Dates of cover • Full Make and Model details, Engine Size • Vehicle Registration, Year of Make • Vehicle Value • Is the vehicle modified to increase top speed, performance or acceleration? • Is the vehicle fitted with any additional security devices? • Who will drive the vehicle? i.e. if same driving restriction as main vehicle. Important Notes The premiums above exclude Insurance Premium Tax. For OpenGi users the TAV rates above are being implemented for Vans from the 15th September 2011 and for Business Car from the 20th October 2011 however it can take up to 4 weeks for all OpenGI brokers to receive the new rates. RSA may allocate a vehicle grouping that differs from the ABI recommendation. Please feel free to call us to check TAV vehicle grouping if unsure. If temporary cover has already been granted and an extension is required, this is treated as a new transaction. The rates above are based on any number days up to and including those shown (e.g. 5 days cover gets the rate for 7 days.) Van groups 21 to 24 represent vehicles with a gross weight of over 3.5 tonnes. Car groups 27 and above - driving restrictions and/or minimum security requirements apply. Temporary Vehicles The client has bought a new vehicle but requires temporary cover for the existing vehicle. Can you hold cover for both vehicles? Yes, you should process the change/substitution to the new vehicle on your SWH from the date of change the client is getting the new vehicle. We allow up to (and including) 3 days from the date of change without charge for the old vehicle to be sold. After these 3 days a TAV charge will apply. You would need to issue a covernote for the replaced vehicle and call us on the date of issue and provide us with the covernote number so we can get processed. Please note we can only process this once the amendment for the change of vehicle has come through which can take 3 days to fall through to us hence why you are asked to issue a covernote. If cover for the replaced vehicle is required over 3 days we would treat as a normal temporary additional vehicle and charge appropriately. We will need to be provided with the dates of cover required - maximum temporary period is 60 days. Please refer to section ‘TAV Pricelist” for charges. Foreign Use Business Car For Business Car policies, cover is automatically provided at the same level as enjoyed in the UK if your customer is taking their vehicle to one of the countries listed below: Austria, Belgium , Bulgaria, Cyprus , Czech Republic ,Denmark ,Estonia ,Finland, France, Germany ,Greece ,Hungary ,Ireland ,Italy ,Latvia ,Lithuania ,Luxembourg ,Malta, Netherlands ,Poland ,Portugal ,Romania ,Slovakia ,Slovenia ,Spain ,Sweden, United Kingdom If cover is required in any other countries or if the trip exceeds 180 days, please call RSA on 0845 300 4005. Foreign Use Van For Van policies, the minimum legal requirement is automatically provided if your customer is taking their vehicle to one of the countries listed below: Austria, Belgium , Bulgaria, Cyprus , Czech Republic ,Denmark ,Estonia ,Finland, France, Germany ,Greece ,Hungary ,Ireland ,Italy ,Latvia ,Lithuania ,Luxembourg, Malta ,Netherlands ,Poland ,Portugal ,Romania ,Slovakia ,Slovenia, Spain,Sweden,United Kingdom Optional extensions can be provided to increase cover to the same level as enjoyed in the UK with charges based on the length of the trip. Renewal/ Rebroke It is imperative that all EDI policies are accepted prior to the renewal date. Any policies will have to be rebroked as new business if the renewal is not accepted in time. Please note that we are unable to match the expiry renewal premium for any rebroked policies and current new business rates will apply. I have processed a policy amendment after the invited renewal quote has been received. Should I call you for a revised renewal premium? No, Once the invited renewal quote has been released by us generally 35 days before the renewal date we are unable to amend it. If you have processed a policy amendment post renewal quote being received you would need to amend the renewal quote if your SWH allows this or accept the renewal quote and process an amendment from the renewal date. The other option available is to rebroke the policy from renewal. The Policy renewal was not accepted by me in time, what should I do? The Policy will have to be re-issued as New Business on your SWH immediately as cover cannot be backdated. Unfortunately we cannot take responsibility for the renewal not being accepted, therefore, we can only offer the new business premium. Policy Transfer The policy holder has agreed to transfer their RSA Business Car/Van EDI policy held under a different brokerage to my agency mid term. What do I need to do to get the policy transferred to my agency? You will need to get the client to complete a letter of appointment letter instructing us to transfer the policy to your agency. This will need to be dated and signed by the policy holder. Please email us the letter of appointment to etrading.team@uk.rsagroup.com with your commercial agency number and once received we will transfer the policy to your agency. Please note that the policy will then be manual handling from the date of agency transfer meaning all future amendments will need to be teleprocessed. At renewal you would be expected to rekey the policy on to your own SWH system and go ahead with the new business premium if client wishes to remain with us. If the transfer of agency is close to the renewal of the policy please be aware that we cannot offer the renewal terms that were offered to the previous broker. No Claims Discount How do I request Proof of No Claims Discount (NCD) for a policy which has been cancelled mid-term? You can request Proof of NCD by emailing your request to etrading.team@uk.rsagroup.com. For requests by email the Proof of NCD will normally be issued by us within 7 working days of the request being received. Alternatively, if all you require is verbal confirmation then please call on 0845 300 4005. Can I transfer the bonus from the policyholders name to the company name? Yes, this can be done however you should make your client aware that if they transfer the bonus into the name of the company then it is only this company name the proof of bonus will be issued under. How can I add PNCD to a policy? This can only be done at inception or the renewal date. If you are looking to quote from renewal you must do an MTA from renewal date to add protection. No Claims Discount Can my Policyholder have Introductory NCD? Yes, if they are eligible this is built into the quote system & will be applied automatically. You should not apply a manual discount. The criteria for eligibility is: - Driving is restricted to Named Drivers over 25. All drivers must have held a full UK or EU licence for at least one year The Policyholder must be free of claims, accidents or losses in the last 3 years. This includes claims where the vehicle was driven by someone else on the Policyholder's policy (e.g. an employee). All drivers must be free of convictions, (including pending convictions), in the last five years other than 1 Category A If applied by your SWH this should be detailed in your premium breakdown. No Claims Discount Can we have Protected NCD on an “Any Driver” policy? No, Our Protected NCD criteria is as follows: - Driving is restricted to Named Drivers over 25 The Policyholder must have 4 or more years NCD The Policyholder must have had no claims (either at fault or where no recovery was made but excluding windscreens) in the past 3 years. This includes claims where the vehicle was driven by someone else on the Policyholder's policy (e.g. an employee).
