2008-2009Student Accounting Department INTER-DISTRICT TRANSFER STUDENTS PROCEDURES
QUALIFICATIONS • Applications are available in the superintendent’s office • The parent or legal guardian need to be currently employed by the district • The application is valid only for the school year requested • Students need to re-apply for inter-district transfer every year (no exemptions)
Responsibility • The campus data entry clerk will be responsible to code all the inter-district transfer students enrolling in the campus. • Code the students in “Program Tracking” and in the “Entry/Withdraw” screen. • The Student Accounting Department will be emailing or mailing the campus data entry clerk a copy of the student’s applications that have been processed through the superintendents office.
Identifying Students • Verify if the student application is “approved” or “denied” • If “approved” the data entry will code the student in the “ENTRY WITHDRAW” and “PROGRAM TRACKING” screens. • Code the student a “T” for Inter-District Transfer in the entry/withdraw screen under the “Residency Field” for the current school year enrollment vector.
Element Numbers and Values • E1000 = Student Attribution Code • Value: 06 = Transfer between district • E0787 = ADA Eligibility Code • Value: 3 = Eligible Transfer Student Full-day or • Value: 6 = Eligible Transfer Student Half-day • E0903 = Campus ID of Residence • Value: = (District Number & Campus Number where originally zoned to) • Please refer to the district and campus number chart provided or to the TEA website link below • http://www.tea.state.tx.us/adhocrpt/adg07031.html
Element E0787 • The inter-district transfer students require three additional vectors in program tracking. • If the student has been approved: • Close the E0787 vector with a value other than “3” By entering a withdraw date same as the withdraw date in the Entry/withdraw screen. • Then enter a new E0787 vector with an ADA value of 3 or 6 • If student has been denied: • Close the ADA vector E0787 and verify the enrollment status of the student
Element E1000 • The “E1000” = Attribution code will be use to track the students who have been approved for the current school year. • If the student has been approved: • If a new student enter an E1000 vector with the Value of 06 • If the student is a returning student close the prior year E1000 vector with a withdraw date same as the entry/withdraw screen as the prior year and open a new E1000 vector with the value of 06. • If the student has been denied: • Close the E1000 vector with the same date of the student prior year withdraw and verify students enrollment status
Element E0903 • The E0903 vector identifies the district and campus the student is originally zoned to • If the student is approved: • If a new student enter an E0903 vector with a value of the district and campus number originally zoned to • If a returning student verify the value is correct. • If the student is denied: • Close the E0903 vector with the withdraw date from the entry/withdraw screen and verify the students enrollment status
Inter-District Transfer Listing • Generate the “Inter-District Transfer” student listing as needed. The listing will help indentify the students who were coded in the prior year and current school year. • If the student is a new inter-district transfer to school district, the student will not appear in the student listing until he is coded in “program tracking”. • The listing shows the three vectors required to be coded in program tracking and the residency status code in the demographic screen.

Sample: 1 • If the student does not have a vector with element number “E1000” open for the current school year, means the student has not been approved for the current school year. • The student has an open “E1000” vector for the previous school year • The student has not been approved for the 2008-2009 school year.
Sample: 2 • If the student has a vector with element number “E1000” open for the current school year, means the student has been approved for the current school year only. • The student has a closed “E1000” vector for the previous school year and has an open “E1000” vector for the current school year. • The student has been approved for the 2008-2009 school year.
