Auto-Classification vs. Auto-Indexing • Auto-Classification refers to classifying records against a Records Retention Schedule – preferably a Big Bucket schedule • Auto-Indexing refers to using technology to index content based on data that is extracted or inferred from documents and context • Both are used in some applications • Sometimes only one is used • It is important to understand the difference
Types of Technology Capture • Use of Auto-Classification and Auto-Indexing during scanning • Uses OCR/ICR for Forms ID and Data Extraction • Uses training to identify document types that are unstructured • Reduces need for document separator sheets or patch pages • Reduces the cost of capture for high volume applications Cons • Only works well for limited document sets (Mortgage Files, Invoices, HCFA-1500 forms) • Requires manual correction • May require significant training
Types of Technology Email • Auto-Classification is needed to classify the vast volume of transitory and unstructured email • Auto-Indexing does not work • Must be used in combination with other techniques • Role-based • User indexed
